We are seeking a knowledgeable and reliable Project & Billing Coordinator to join our growing team. This person will work closely with our sales teams and project managers to ensure accurate planning, scheduling, and billing for residential and commercial construction projects. The ideal candidate has a strong mix of technical, financial, and organizational skills with a drive for continuous improvement. Pay for this position will be determined by qualifications and experience.
Key Responsibilities:
- Coordinate project details between sales, operations, and management teams.
- Track project progress, schedules, and budgets to ensure accuracy and efficiency.
- Prepare and manage billing, invoicing, and supporting documentation for projects.
- Maintain organized records of materials, labor, and job costing.
- Develop and document standard operating procedures (SOPs) and workflow standards.
- Communicate professionally with customers, vendors, and team members.
- Assist with reporting, spreadsheet management, and other administrative tasks.
Qualifications:
- Strong financial acumen and attention to detail.
- Proficient in Google Workspace (Sheets, Docs, Drive, Gmail) and Excel-style spreadsheet management.
- Excellent written and verbal communication skills.
- Strong time management and ability to meet multiple deadlines.
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred Skills:
- Experience with ServiceTitan or similar field management software.
- QuickBooks experience or other accounting software familiarity.
- Background in invoicing, billing, or project coordination.
- Customer service or client communication experience.
- Strong phone etiquette and organizational habits.
