Elevator Operations Assistant
About the Role
We are seeking a motivated and detail-oriented Elevator Operations Assistant to support the day-to-day operations of our maintenance, modernization, repair, and new installation departments. This position is ideal for someone looking to gain experience in the elevator industry while assisting with project coordination, scheduling, customer communication, purchasing, and administrative functions.
Responsibilities Operations & Administrative Support
- Provide administrative support to the operations team, supervisors, and management.
- Assist with organizing project documentation, contracts, and closeout packages.
- Maintain accurate electronic and physical project records.
- Prepare reports, spreadsheets, and correspondence as needed.
- Digitize, organize, and upload electrical wiring diagrams and other technical documents.
Scheduling & Coordination
- Assist with scheduling maintenance, repair, modernization, and new installation activities.
- Coordinate customer appointments and maintain communication regarding project status and scheduling.
- Help track project milestones, deadlines, and required documentation.
- Support field personnel by coordinating access, materials, and logistical needs.
Purchasing & Inventory Support
- Assist with ordering materials, supplies, and equipment.
- Coordinate with vendors regarding deliveries and order status.
- Help maintain inventory records and warehouse organization.
- Process parts requests for maintenance and repair teams.
Fleet & Facility Support
- Assist with tracking vehicle registrations, inspections, maintenance schedules, and cleanliness.
- Help ensure company equipment and operational resources are properly maintained and documented.
General Support
- Assist with departmental expense tracking and administrative tasks.
- Support special projects and operational initiatives as assigned.
- Perform other duties as assigned.
Requirements
- High school diploma or GED required; associate or bachelor's degree preferred.
- Proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Detail-oriented with strong follow-through.
- Ability to work independently and collaboratively.
- Valid driver's license preferred.
- Willingness to travel occasionally throughout the 5 boroughs, Long Island, and Westchester as needed.
- OSHA 10 certification is a plus.
