Patient Access Manager

Position Summary

Austin Retina Associates is seeking a motivated and detail-oriented Manager to support revenue cycle operations and deliver an exceptional patient experience. This role collaborates with patients, insurance carriers, and pharmaceutical programs while leading team performance, process improvement, and reporting initiatives.

Duties/Responsibilities

  • Maintain accurate and timely data entry across billing systems
  • Manage inbound and outbound patient communications, including follow-ups and issue resolution
  • Document all patient and payer interactions appropriately
  • Manage staffing needs, including recruiting, hiring, scheduling, shift coverage, leave request responses, and timesheet approvals
  • Support supervisor and team leads in tracking team performance and providing actionable feedback
  • Develop and maintain audits, metrics, and reporting within Viewgol and Rivet
  • Update insurance reference materials regularly to reflect current authorization and step therapy requirements
  • Create and maintain training materials to support onboarding and cross-training
  • Partner with auditors and education coordinators to identify trends and improve processes
  • Collaborate with leadership on workflow and operational improvements
  • Assists with reporting as needed
  • Lead Insurance and Program Specialist teams to ensure timely eligibility verification, referrals, authorizations, and program enrollment/payments
  • Monitor staff performance through observation, audits, and metrics; provide coaching and development support
  • Facilitate employee growth by aligning development opportunities with individual goals
  • Oversee onboarding and cross-training initiatives
  • Communicate performance expectations, organizational updates, and feedback clearly and consistently
  • Address employee concerns promptly and foster a collaborative team environment
  • Partner with other leaders to resolve operational challenges and improve business outcomes
  • Respond to escalated patient concerns in a timely manner, as needed
  • Support supervisors in developing both technical and leadership competencies
  • Maintain consistent and timely O3’s with all direct reports

Required Attributes

  • Master multiple computer systems including Google, MicrosoftOffice, Teams, data management, data entry and retrieval
  • Knowledge of ophthalmology and retina terminology with ophthalmic experience preferred
  • Strong attention to detail, multitask effectively, minimizing errors for self and team
  • Effective written and verbal communication skills

Preferred Attributes

  • Previous leadership or supervisory experience, with demonstrated skills in motivating and training professional staff
  • Working knowledge of AMD & MDI
  • Strong interpersonal skills including effective listening, clear communication, effective customer problem resolution with warm encouraging demeanor
  • Demonstrates high-levels of critical thinking skills
  • Excellent organizational skills, time-management, ability to strategically manage workflow in an environment with competing priorities with attention to detail

Other Position Details

  • FLSA exempt, not eligible for overtime
  • Availability to work a consistent Monday–Friday, 8:00 AM–5:00 PM schedule

Physical Demands & Requirements

Sitting up to 4 hours a day; stand and walk; talk and hear both in person and by telephone; use hands to finger, handle and feel objects or controls; reach with hands and arms. Regularly required to stoop, kneel, bend, crouch and lift up to 30 pounds on occasion. Specific vision abilities required by this job includes viewing multiple computer screens, close vision, distance vision, depth perception, color vision and the ability to adjust focus. Viewing images and operating computer devices constantly.
