A local Fairfield ,Connecticut landscape design-build firm, is seeking an individual who is a good fit with our goals for the company, our personalities and the overall character of the firm. Responsibilities

· Responsible on a daily basis for ensuring the smooth operation of the office, as well as to provide high quality and timely administrative support.

· Serving as the primary receptionist, answering and directing incoming calls; while presenting a professional, welcoming first contact to all clients, suppliers, vendors, staff, media, etc. – by phone, in person, and email.

· Schedule and confirm appointments for Office Staff. Track projects, from initial meeting, through design/quote process to installation or denial. Keep office staff on track with their project deadlines and follow-up with clients to confirm receipt of proposals and identify questions and concerns.

· Assist clients in person and over the phone with the execution of contracts and receipt of deposits and payments.

  • Coordinating incoming and outgoing mail, packages, and deliveries.
  • Making photocopies, sending faxes, e-mails, and filing as needed.
  • Stocking and distributing office supplies.
  • Maintaining general office tidiness and cleaning of common areas.
  • Running errands and performing miscellaneous job-related duties as assigned

· Assist with the creation of customer presentations and estimates as well as researching products, suppliers and pricing as needed.

· Assist project managers with data entry and billing as well as clerical/bookkeeping duties and maintaining office records. Including the invoicing of landscape services using QuickBooks Software.

  • Provide support for marketing/communications; maintain mailing list, assist with mailings and client follow-up, and marketing campaigns both print and electronic.
  • Provide friendly, professional assistance to customers via phone, email, and text ensuring their needs are met efficiently and effectively
  • Handle inbound and outbound calls with confidence, demonstrating excellent phone etiquette and communication skills
  • Assist clients with inquiries related to services, sheduling appointments for staff members, billing, and account management while maintaining a positive attitude
  • Support sales efforts by identifying customer needs and offering suitable solutions
  • Enter data accurately into company systems, including customer information, transaction details, and service requests
  • Collaborate with team members to resolve issues promptly and contribute to a supportive environment

Experience

  • Previous experience in customer support or call center roles is preferred but not required; training will be provided for motivated candidates
  • Bilingual or multilingual abilities are highly desirable to serve diverse customer bases effectively
  • Strong communication skills in English are essential; additional spanish language proficiency is a plus
  • Familiarity with Microsoft Office and Quickbooks applications and general computer skills are necessary for daily tasks
  • Experience with data entry, analysis skills, and typing accuracy will enhance your performance in this role
  • Prior experience in customer service roles or client interactions is beneficial
