Job Summary
The Insurance Verification Specialist at Auras Therapy Center is responsible for confirming patient insurance eligibility and benefits for pediatric Speech Therapy, Occupational Therapy, and Mental Health services. This role ensures that patients’ insurance plans cover recommended therapy services and helps families understand their benefits and financial responsibilities.
The specialist communicates directly with insurance companies and patient families to verify coverage, explain benefits, and support access to necessary therapy services for children. This position requires strong attention to detail, excellent communication skills, and knowledge of insurance verification systems.
Important: This position is fully on-site at Auras Therapy Center and is not a remote position.
Key Responsibilities
Insurance Verification
- Verify patient insurance eligibility and benefits for speech therapy, occupational therapy, and mental health services prior to scheduled appointments.
- Confirm coverage details including deductibles, copays, coinsurance, visit limits, authorization requirements, and exclusions.
- Ensure therapy visits and procedures are covered by the patient’s insurance provider before services are rendered.
Insurance Systems & Documentation
- Accurately enter and update insurance benefit information in the clinic’s billing or practice management system.
- Utilize Availity and other insurance-specific portals to verify benefits and patient financial responsibility.
- Maintain accurate and organized patient insurance records.
Patient Communication
- Serve as a knowledgeable resource for parents and guardians by explaining their child’s insurance coverage in a clear and supportive manner.
- Educate families on what services are covered, potential out-of-pocket costs, and any insurance limitations.
Contact families when issues arise such as:
- Non-covered services
- High copays or coinsurance
- Insurance premium issues
- Missing or inaccurate information
- When payment plans or financial arrangements are needed.
Coordination with Team
- Forward patients with outstanding balances for further financial discussion and support.
Problem Solving
- Identify and resolve discrepancies in insurance information by:
- Reviewing Availity or insurance portals
- Contacting insurance companies
- Communicating with patient families when necessary
- Use sound judgment in determining the appropriate resolution path.
Scheduling & Operational Support
- Provide same-day or next-day insurance verification when new pediatric therapy appointments are added.
- Provide completed verification lists to the Medical Records Authorization Clerk at least 3 days in advance to allow adequate time for authorizations and chart preparation.
Compliance & Confidentiality
- Access patient records only as needed for treatment, payment, and healthcare operations.
- Maintain strict compliance with HIPAA, OSHA, and all company policies and regulations.
Additional Duties
- Support clinic operations with additional administrative tasks as needed.
- Participate in maintaining an organized and efficient patient services workflow.
Required Qualifications
- Experience working with health insurance verification or medical billing.
- Familiarity with Availity and insurance verification portals.
- Strong understanding of insurance benefits, copays, deductibles, and authorization requirements.
- Excellent attention to detail and organizational skills.
- Strong communication skills when working with families and insurance representatives.
- Ability to multitask and manage multiple patient verifications simultaneously.
Preferred
- Experience in pediatric healthcare, therapy clinics, or behavioral health settings.
- Knowledge of speech therapy, occupational therapy, or mental health billing practices.
Work Environment
This role is 100% in-person at Auras Therapy Center.
Employees will work closely with the therapy team, billing staff, and patient families.
The position requires frequent communication with insurance companies and parents/guardians.
Remote work is not available for this role.
