Role Overview:
This role is ideal for a calm, detail-oriented, highly organized professional with prior medical office experience. The Front Desk Administrator will manage all patient-facing and administrative tasks, ensuring efficiency, HIPAA compliance, and a positive patient experience. This position does not involve insurance verification or billing.
Key Responsibilities:
Front Desk & Patient Interaction
- Welcome patients warmly and check them in/out efficiently
- Manage appointment scheduling, confirmations, and reminders
- Answer phone calls and respond to emails professionally
- Maintain a calm, organized front desk environment, sensitive to patients with neurological or autonomic conditions
Administrative & Office Support
- Handle HIPAA-compliant faxing, scanning, and document management
- Coordinate with clinical staff for patient flow and session scheduling
- Maintain office supplies and ensure clinic organization
Qualifications & Experience:
- Minimum 2–3 years experience in a medical office, clinic, or patient-facing administrative role
- Experienced, confident, and able to work independently with minimal supervision
- Highly organized, detail-oriented, and professional
- Tech-savvy with familiarity in EHRs, scheduling software, and office equipment
- Knowledge of HIPAA and patient privacy compliance
- Excellent interpersonal and communication skills; calm, patient-focused, and discreet
