Responsibilities:
- Warmly greeting patients and other visitors to the practice; ensuring a positive first impression.
- Managing phone system - answering phones in a prompt and courteous manner, directly calls appropriately, and responding to inquiries with professionalism.
- Outbound calling to current and prospective patients as needed or requested by staff.
- Coordinate patient appointments and manage scheduling efficiently to optimize clinic operations.
- Handle collection of payments and document in OMS.
- Perform insurance verification, ensuring accurate billing processes.
- Maintain patient records and using electronic health record (EHR) system.
- Review documentation for accuracy and compliance with all state and Federal regulations (i.e. HIPPA, etc.).
- Provide clerical support including filing, typing, and managing correspondence.
- Facilitate communication between patients and professional staff to enhance patient service and satisfaction.
- Conduct intake procedures for new & existing patients, ensuring all relevant information is collected accurately.
- Support coding processes including CPT coding and ICD-10 coding as needed.
- Collaborate with healthcare professionals to streamline office management and improve patient flow.
Qualifications
The ideal candidate will possess:
- Minimum high school diploma.
- Good verbal and written communication skills with an eye for accuracy and detailed orientation.
- Previous experience in a medical office or clinic setting of at least 1 year with an understanding of medical terminology and health information management.
- Previous experience in EHR systems is useful, but not required.
- Familiarity with medical billing practices, insurance verification processes, and documentation review.
- Intermediate level of computer skills including Microsoft Office Suite and typing proficiency (10 key typing preferred).
- Strong ability to prioritize, multi-task and stay organized.
- Must have consistent, punctual and reliable attendance.
- A background in customer service or administrative support within a healthcare environment of at least 1 year is highly desirable.
Physical Demands & Work Environment:
- Frequently requires sitting, using hands, reaching and twisting.
- Frequently requires fine hand movements including typing.
- Frequently requires listening and speaking on a telephone and/or video conference program to those with a hearing or other disabilities.
- Occasional lifting of up to 20 pounds with or without assistance
- Standing and walking throughout the day
- The work environment is generally quiet, with moderate noise from phones and other office machines.
