We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management and clerical tasks. This role involves managing front desk responsibilities, handling multi-line phone systems, and providing exceptional customer service. A familiarity with tools such as Microsoft Office, Google Workspace, QuickBooks, and data entry procedures. The Administrative Assistant will play a vital role in maintaining efficient office workflows and supporting team members across various departments. Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer and direct calls using multi-line phone systems, ensuring proper phone etiquette
- Manage calendar appointments and schedule meetings using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support office management duties including supply inventory, filing systems, and document preparation
- Provide customer support via phone, email, or in person to clients or patients as needed
- Coordinate appointment scheduling for medical or dental reception if applicable
- Handle correspondence, emails, and other administrative communications efficiently
- Receive products
Qualifications
- Proven experience in office administration, clerical work, or customer service roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), and data entry software
- Experience with QuickBooks or bookkeeping is preferred but not required
- Excellent organizational skills with the ability to manage multiple tasks simultaneously
- Strong typing skills and attention to detail for proofreading and document accuracy
- Effective communication skills with professional phone etiquette; bilingual abilities are a plus
- Previous experience working at the front desk or as a receptionist in medical or dental offices is advantageous
- Ability to handle confidential information discreetly and maintain professionalism at all times
- Demonstrated time management skills to prioritize tasks efficiently
