Bookkeeper / Office Manager
Position Summary
We are seeking an organized, detail-oriented Bookkeeper / Office Manager to oversee the day-to-day financial and administrative operations of our office. This role combines bookkeeping responsibilities with office management, ensuring accurate financial records, efficient office operations, and administrative support for our team.
The ideal candidate is proactive, dependable, and comfortable managing multiple priorities while maintaining a high level of accuracy and professionalism.
Bookkeeping & Accounting Responsibilities
Manage accounts payable and accounts receivable.
Process vendor invoices and prepare payments.
Verify invoice accuracy and ensure proper approvals are obtained.
Record and reconcile daily financial transactions.
Prepare and post journal entries.
Reconcile bank accounts, credit card accounts, and vendor statements.
Maintain accurate financial records, ledgers, and supporting documentation.
Assist with month-end and year-end closing processes.
Prepare financial reports for management.
Support outside accountants during audits and tax preparation.
Office Management & Administrative Responsibilities
Maintain organized filing systems for financial and administrative records, both physical and electronic.
Keep accounting and administrative procedures up to date.
Assist with purchasing functions, including ordering office and operational supplies as needed.
Coordinate vendor relationships, office equipment, and technology needs.
Assist with onboarding new employees and maintaining personnel records.
Provide administrative and team support as needed to help ensure the smooth day-to-day operation of the business.
Support company projects and administrative initiatives as needed.
Provide general administrative support to ownership and management.
Organization & Process Improvement
Maintain efficient office systems and workflows.
Ensure financial records are complete, accurate, and confidential.
Identify opportunities to improve administrative and accounting processes.
Assist with special projects.
Perform other duties as assigned by management.
Qualifications
Experience in bookkeeping, accounting, or office management.
Strong understanding of accounts payable, accounts receivable, reconciliations, and general bookkeeping principles.
Proficiency with QuickBooks and Microsoft Office, especially Excel.
Excellent organizational skills and attention to detail.
Ability to manage multiple priorities with minimal supervision.
Strong problem-solving and communication skills.
High level of integrity and discretion when handling confidential financial information.
Self-motivated, dependable, and proactive.
Preferred Qualifications
Associate's degree in Accounting, Business Administration, or a related field, or equivalent work experience.
Experience working in a small business environment.
Knowledge of general accounting practices and financial reporting.
Pay: $500.00 - $700.00 per week
