Job Summary:
The Purchasing Clerk is responsible for managing purchasing activities, coordinating inventory receipts, and ensuring seamless alignment between purchase orders (POs) and incoming shipments. This position plays a critical role in maintaining supply chain efficiency and ensuring timely procurement of materials, parts, and supplies necessary for production.
Key Responsibilities:
Purchasing Coordination:
- Process and manage purchase orders (POs) for materials, parts, and supplies.
- Ensure timely ordering to maintain adequate inventory levels.
- Communicate with vendors regarding pricing, availability, and lead times.
- Track and follow up on open POs to ensure timely deliveries.
Receiving & Inventory Management:
- Verify and receive incoming parts and supplies against purchase orders.
- Inspect shipments for accuracy, damages, or discrepancies, and resolve issues with vendors.
- Maintain accurate records of received inventory in tracking systems.
- Collaborate with warehouse staff to ensure efficient storage and organization.
- Adhering to accounting practices and standards.
Vendor Relations & Compliance:
- Build and maintain relationships with suppliers to optimize pricing and service.
- Identify cost-saving opportunities and negotiate favorable terms.
- Ensure compliance with company purchasing policies and industry regulations.
Process Improvement & Reporting:
- Streamline procurement processes for efficiency and cost control.
- Generate reports on purchasing trends and supplier performance.
Qualifications:
- Experience in procurement, purchasing, or inventory management (2 years preferred).
- Strong attention to detail and accuracy in matching purchase orders to received goods.
- Proficiency in purchasing and inventory management software (ERP systems).
- Excellent problem-solving skills for handling discrepancies and supply chain challenges.
- Strong communication and negotiation skills for vendor coordination.
Preferred Skills:
- Experience in manufacturing, machining, or firearms industry procurement.
- Knowledge of supplier lead times, material sourcing, and supply chain logistics.
- Familiarity with Lean Manufacturing or Just-in-Time (JIT) inventory principles.
Education & Experience:
- High School Diploma or GED (required).
- Associate’s or Bachelor’s degree in Business Administration, or a related field (preferred but not required).
