Position Overview
The Event Coordinator is a hybrid event coordination and project coordination role that supports Atlas Experiences programs across the entire event lifecycle. This position plays a critical role in keeping programs on track by managing schedules, timelines, internal communication, logistics, and documentation.
Reporting to the VP of Business Development and working closely with the Events Manager, this role is ideal for someone who thrives in fast-paced environments, enjoys managing details, and takes pride in bringing structure and clarity to complex projects.
Key Responsibilities
- Track timelines, milestones, and deadlines for multiple event programs simultaneously
- Maintain project plans and task tracking in Monday.com or other agreed upon platform
- Ensure internal deadlines are met by coordinating with cross-functional team members
- Proactively identify risks, bottlenecks, or schedule conflicts and escalate as needed
- Schedule and coordinate all internal meetings related to event execution
- Prepare agendas, track action items, and follow up on deliverables
- Serve as a central point of coordination between internal teams
- Support the planning and execution of event logistics, including travel, accommodations, schedules, and on-site needs
- Assist with contingency planning and problem-solving during program execution
- Support the coordination of vendors and partners to ensure deliverables are met on time and within scope
- Support vendor relationships by tracking contracts, timelines, and deliverables
- Assist with communication and follow-up with external partners
- Ensure all assets, contracts, schedules, and reference materials are stored accurately and consistently in adherence to Atlas Experiences’ company framework
Qualifications
- 1-3 years of experience in event coordination, project coordination, or project management (event-focused experience strongly preferred)
- Strong organizational and time-management skills with exceptional attention to detail
- Ability to manage multiple projects and shifting priorities simultaneously
- Self-starter mindset with a proactive, solution-oriented approach
· Clear written and verbal communication and a client first mindset
· Proficiency with Microsoft Office, Google Workspace, and project management tools such as Monday.com
· Possible travel for multi-day events, occasional nights and weekends
· Bonus points for experience in lotteries, sports, entertainment, or experiential marketing
