We’ve been around since 2005, but we still have a startup feel (and hope to forever). We are a small business software/digital media company servicing some of the biggest brands in the US today.
The Gig We need an Operations Coordinator who "gets it." This isn't a role hidden in a cubicle where nobody sees your impact. You’ll be the operational glue working directly with leadership to keep the machine running. Besides, you'll be in your own house, not a cubicle. It's fully remote!

The Daily Deeds (What You’ll Actually Own)
- The Money: You work with, and manage, the office assistants to keep financial operations tight. You’ll track expenses, monitor departmental budgets, and oversee bank accounts. You watch the cash flow so we don't have to.
- The Gatekeeper: You read the fine print. You review vendor agreements, customer SLAs, and contracts. If a fee looks wrong or a term looks risky, you catch it before we sign.
- Quality Control: Audit our internal processes and records. You identify inconsistencies (in data, billing, or files) to ensure high standards.
- The People (HR Lite): You run the hiring logistics. You assist with job posts, filter applicants, schedule interviews, and handle the onboarding paperwork so new hires are set up for success on Day 1.
- The Scoreboard: You run the weekly reports. You gather the data from different departments so leadership has a clear view of where we stand without having to chase people down.
- The "Stuff": You manage the company tech stack (renewing licenses, canceling unused tools). You also handle the random logistics, trade show swag, shipping, and keeping our virtual filing cabinets and audit processes from turning into a digital junkyard.
- Executive Leverage: Assist the leadership team by prioritizing high-impact activities and ensuring deadlines aren't missed. (Note: This is about business leverage, not managing personal calendars).
- Policy Pro: Maintain company Policies and Procedures, but more importantly, streamline them. If a policy is slowing us down, you suggest a better way.
- Admin Team Lead: Oversee the task lists for our administrative support staff to ensure efficient workflow.
The "Must-Haves"
- 3 Years Experience: You’ve done this before in an Office Manager, Ops, or Admin role.
- Tech-Fluent: We live in Google Suite (Docs/Sheets/Drive), BaseCamp, and Meet. You need to be comfortable managing files and data in the cloud.
- High Trust: You will have access to money, contracts, and personnel files. Integrity is super important to us.
- Organization: You love a good checklist and you hate a messy spreadsheet.
