The Administrative Assistant is responsible for organizing, coordinating, and maintaining office operations and procedures to ensure organizational effectiveness and efficiency while supporting the Leasing Office.

- Answer phone calls from prospects and residents.
- Complete any filing duties or additional administrative tasks as assigned.
- Greet and assist clients and residents.
- Schedule appointments for prospects and complete guest cards.
- Stock and order supplies for the coffee bar and office.
- Manage packages to ensure the carrier is following protocol and assist residents as needed.
- Open and close show models and amenities daily.
- Assist move-in tasks including key preparation, callbox programming, and pre-walking the unit for readiness.
- Post notices for events and/or elevator reservations.
- Upload documents and files as needed.
- Confirm pre-scheduled appointments at the beginning and end of each day.
- Prepare move-in bags for future residents.
- Enter work orders upon request.
- Assist in preparing daily and weekly reports.
- Audit files to ensure completion.
- Assist with resident event support, including set-up and tear-down.
- Open and date all incoming mail.
- High School or equivalent required.
- Two (2) years of hands-on administrative support experience.
- Proficiency in MS Word, MS Excel, and MS Outlook.
- Ability to multi-task multiple projects with superb accuracy.
- Strong administrative skills.
- Ability to read, listen and communicate effectively in English, both verbally and written.
