This role is responsible for keeping daily service operations running smoothly and efficiently by coordinating scheduling, materials, and communication between the field and office. You will own the dispatch board, manage job flow, and ensure technicians are scheduled effectively, materials are ready, and jobs stay on track. This is a fast-paced, high-visibility role that directly impacts daily execution, team efficiency, and customer experience.
Your Day-to-Day Responsibilities
Dispatch, Scheduling, Customer Coordination:
- Answer and triage incoming service calls, ensuring proper scheduling and timely follow-up
- Own and manage the daily service schedule, dispatching technicians efficiently based on priority, location, and skillset
- Maintain accurate job notes, statuses, and scheduling updates in ServiceTitan
- Communicate consistently with technicians, customers, and vendors to keep jobs moving
Operations & Coordination:
- Coordinate ordering of materials for upcoming service work and sold jobs
- Ensure materials are tracked, received, and ready ahead of scheduled work
- Support job flow by keeping scheduling, materials, and communication aligned
Fleet & Facilities Coordination:
- Coordinate and track fleet maintenance to ensure vehicles remain operational
- Receive, organize, and track incoming materials and deliveries
- Help maintain a clean, organized, and professional shop and office environment
What You'll Bring to the Team
- Prior experience in dispatching, logistics, or field coordination preferred
- Strong organizational skills and attention to detail
- Proficiency with Microsoft Office and scheduling software (ServiceTitan experience is a plus)
- Ability to manage multiple priorities in a fast-paced environment while staying calm under pressure
- Clear and professional communication with technicians, vendors, and customers
- A proactive, hands-on attitude with a willingness to support the team where needed
