Front Office Receptionist – Medical Office

We are seeking a friendly, organized, and dependable Front Office Receptionist to join our busy practice.
Position Summary
The Receptionist serves as the first point of contact for patients, visitors, and providers. This position is responsible for creating a welcoming and professional environment while performing front office administrative duties, coordinating patient communication, managing appointments, and maintaining accurate medical records. The ideal candidate is organized, customer-focused, and experienced in handling confidential health information in accordance with HIPAA regulations.
Essential Duties and ResponsibilitiesFront Office Responsibilities
- Greet patients, visitors, and vendors in a courteous and professional manner.
- Answer and direct incoming phone calls promptly.
- Schedule, confirm, and reschedule patient appointments.
- Check patients in and out while verifying demographic and insurance information.
- Collect co-pays and other patient payments, when applicable.
- Maintain reception and waiting areas in a clean and organized manner.
- Monitor office supplies and notify management when replenishment is needed.
- Receive and distribute incoming mail, faxes, and deliveries.
Medical Records Responsibilities
- Maintain accurate and complete patient medical records.
- Scan, upload, and index medical documents into the electronic medical record (EMR) system.
- Process medical records requests in accordance with HIPAA and company policies.
- Ensure all documentation is filed accurately and timely.
- Assist providers and clinical staff with retrieving patient records when requested.
- Maintain confidentiality of all patient information.
- Perform routine audits to ensure medical records are complete and accurate.
Administrative Responsibilities
- Assist with patient correspondence and appointment reminders.
- Support providers and clinical staff with administrative tasks as assigned.
- Maintain confidentiality of employee and patient information.
- Perform additional duties as assigned.
QualificationsRequired
- High school diploma or GED.
- Minimum of one (1) year of medical records experience in a healthcare setting.
- Minimum of one (1) year of receptionist or customer service experience.
- Knowledge of HIPAA privacy and confidentiality requirements.
- Experience using electronic medical record (EMR) systems.
- Proficiency with Microsoft Office (Word, Outlook, Excel).
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred
- Experience in a physician office, specialty practice, or outpatient healthcare setting.
- Medical terminology knowledge.
- Experience verifying insurance eligibility and benefits.
- Bilingual (English/Spanish) preferred.
