What are the responsibilities and job description for the Intake Coordinator position at Astra Behavioral Health?
Position Summary: Centralized intake coordinator is responsible for sending and receiving new intake packets and scheduling with the appropriate provider, explaining the program that is offered within the agency, identifying appropriate programs needed for clients, interacting with client and referral sources, and working within an electronic medical record system (EMR).
Qualifications:
- High school diploma or GED required.
- Associate degree in healthcare administration, behavioral health, psychology, social work, or a related field preferred.
Required Experience
- Minimum of one (1) year of experience in a behavioral health or healthcare setting required; two (2) years preferred.
- Minimum of one (1) year of patient intake, admissions experience required; two (2) to three (3) years preferred.
- Experience using an electronic health record (EHR/EMR) system preferred.
- Strong understanding of medical insurance, including commercial insurance, Medicare, Medicaid, managed care plans, eligibility verification, copays, deductibles, coinsurance, and prior authorization requirements.
Essential Functions/ Major Responsibilities:
- Understand and explain all agency programs and services.
- Provide excellent customer service to clients.
- Receive, review, and process all new intake packets, ensuring all required forms and supporting documents are complete and accurate, including but not limited to insurance cards, identification cards, court and guardianship paperwork.
- Verify client insurance eligibility and benefits, ensuring coverage information is accurate prior to scheduling services.
- Contact new clients to verify information and obtain any missing or incomplete paperwork.
- Enter client information into the electronic medical record (EMR) system.
- Discuss clients' needs and explain the services offered by Astra.
- Maintain provider availability and schedule appointments, including coordinating referrals to specialty services.
- Process incoming referrals by requesting intake packets, reviewing documentation, and scheduling appointments.
- Explain the agency's cancellation, no-show policy, and applicable fees to clients.
