The position is 100% onsite, with standard hours of 8:00 a.m. to 4:30 p.m. You will work closely with a tight-knit HR team that includes HR specialists, recruitment professionals, and senior HR leadership. The team is collaborative, friendly, and supportive, and values strong communication as well as the ability to work independently. The environment is busy and project-driven, with a strong focus on cleaning up HRIS and ATS data, digitizing paper files, and ensuring accurate benefits and vacation records. This setting offers practical exposure to HR systems, benefits and vacation auditing, and core HR operations within a professional office environment.

Responsibilities
- Maintain original I-9 documents in personnel files in accurate alphabetical order and ensure they are securely stored.
- Create, maintain, and regularly update an I-9 tracker for audit and compliance purposes.
- Review I-9 documentation to verify that identification has been properly validated and document findings for ongoing audit purposes.
- Organize and manage both paper-based and digital employee files to ensure they are complete, accurate, and easy to retrieve.
- Ensure all employee documents are properly filed, labeled, and stored in accordance with internal procedures.
- Upload employee documents from the applicant tracking system (ATS) into the human resource information system (HRIS).
- Support clean-up of the HRIS and ATS by ensuring all required documents are uploaded, correctly categorized, and aligned with employee records.
- Assist with transferring paper-based personnel files into the HRIS system to support a more efficient and accurate digital record-keeping process.
- Verify employee personal information and benefits elections in the benefits platform for accuracy and completeness.
- Compare benefit elections against internal trackers and reports to identify any inconsistencies.
- Identify discrepancies in benefits data and escalate findings to the HR team for review and correction.
- Review vacation accruals to confirm they are calculated correctly and align with internal policies.
- Verify that vacation balances are accurately recorded in the HRIS system and document any discrepancies.
- Prepare and maintain reports related to I-9 audits, benefits audits, and vacation audits for HR review.
- Provide general HR administrative support as needed, including clerical tasks, HR documentation, and basic HR support to the team.
- Communicate clearly and professionally with HR team members, while working independently to complete assigned projects on time.
Essential Skills
- 1-3 years of experience in human resources administration or HR support.
- Bachelor's degree (BA Degree), preferably with a focus related to human resources or business.
- Hands-on experience using a human resource information system (HRIS); experience with any HRIS is acceptable.
- Understanding of I-9 documentation requirements and basic compliance principles.
- Experience with HR administration tasks such as onboarding, employee file management, and HR documentation.
- Ability to manage and organize large volumes of paper and digital files with strong attention to detail.
- Proficiency in basic administrative and clerical work, including data entry, record keeping, and document management.
- Comfort working with HR systems, including HRIS and ATS platforms, to upload, update, and audit employee data.
- Strong organizational skills and the ability to work independently with minimal supervision.
- Effective communication skills to collaborate with a close-knit HR team and escalate issues appropriately.
Additional Skills & Qualifications
- HR certification is preferred and will be considered an advantage.
- Experience with Paycor or similar HRIS platforms is beneficial.
- Benefits administration or benefits audit experience is a plus and may lead to consideration for future projects, such as open enrollment support.
- Familiarity with employee relations concepts and HR support processes.
- Experience working with HR systems and HRIS tools in a fast-paced environment.
- Interest in gaining deeper exposure to benefits, payroll, and employee relations through project-based HR work.
