Position Overview
We are seeking a detail-oriented and proactive Accounts Receivable (AR) Specialist – Billing to join our team. In this role, you will be responsible for ensuring accurate and timely billing, maintaining customer accounts, and supporting efficient AR processes. Your ability to analyze discrepancies, communicate effectively, and manage high-volume transactions will directly contribute to the organization’s financial health and operational success.
Key Responsibilities
- Prepare and issue accurate, timely invoices in accordance with contracts and service delivery
- Monitor customer accounts and follow up on outstanding balances to ensure timely collections
- Post daily cash receipts and investigate/resolve any discrepancies
- Submit and manage disputes through customer portals
- Maintain detailed and organized billing records
- Process credit memos, adjustments, refunds, and write-offs
- Reconcile AR sub-ledger to the general ledger and customer account balances
- Partner with internal departments to resolve billing and account issues
- Generate and distribute aging reports and support month-end close activities
- Track and report key AR metrics, including Days Sales Outstanding (DSO)
- Ensure compliance with company policies and applicable accounting regulations
- Strong knowledge of accounts receivable and billing processes
- Advanced proficiency in Microsoft Excel (including Pivot Tables and VLOOKUP)
- Experience with ERP/accounting systems (e.g., Great Plains, SAP, NetSuite, Oracle, Microsoft Dynamics GP)
- Solid analytical and problem-solving skills with attention to detail
- Ability to manage multiple priorities in a fast-paced, high-volume environment
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Experience: 1–3 years of experience in accounts receivable, billing, or related accounting functions
- Education: Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred
- Experience in shared services or high-volume AR environments
- Knowledge of trade promotions, EDI, and retailer deduction practices (e.g., Walmart, Amazon)
- Familiarity with root cause analysis and continuous process improvement methodologies
- Intermediate to advanced Office 365 skills
