Executive Administrative Assistant
Private Equity Firm | New York City (Midtown Manhattan)
Hybrid Schedule: 4 Days Onsite
Base Salary: $105,000–$115,000 Bonus
A leading private equity firm is seeking a polished, proactive, and highly organized Executive Administrative Assistant to support the launch of its first New York City office. This is a unique opportunity to join a growing, high-performing team in a visible, front-facing role supporting several senior executives while helping manage day-to-day office operations.
The ideal candidate thrives in fast-paced environments, enjoys wearing multiple hats, and brings a “no job too big or too small” mentality. This person will play a critical role in ensuring the office runs smoothly while serving as a key administrative partner to leadership.
Responsibilities
- Provide high-level administrative support to multiple investment professionals and senior leaders
- Manage complex calendars, meeting coordination, travel arrangements, and expense reporting
- Handle traditional executive assistant responsibilities including scheduling, correspondence, document preparation, and meeting logistics
- Serve as the front-facing reception point for the office by greeting guests, answering phones, and ensuring a polished visitor experience
- Oversee office management responsibilities including vendor coordination, office supplies, facilities management, conference room scheduling, and general office organization
- Coordinate internal meetings, team events, and external client or investor meetings
- Assist with presentation preparation, reporting, and ad hoc administrative projects
- Partner closely with leadership to help establish office processes and maintain a professional, collaborative environment
- Handle confidential and sensitive information with discretion and professionalism
Qualifications
- 3–5 years of executive assistant, administrative assistant, office management, and/or reception experience, within finance, private equity, or investment banking
- Strong communication and interpersonal skills with a polished, client-facing demeanor
- Highly organized with exceptional attention to detail and follow-through
- Ability to multitask and prioritize effectively in a fast-paced environment
- Positive, team-oriented attitude with a hands-on approach
- Proficiency in Microsoft Office Suite and standard business applications
- Bachelor’s degree preferred
