Associated Students’ (A.S.) mission is to support and represent the students of San José State University by continuing the organization’s legacy of student advocacy and leadership; to enhance SJSU students’ education through high quality programs and services; and to prepare students as they move towards a thoughtful and purposeful life after graduation.
A.S. is a non-profit auxiliary corporation serving the students of San Jose State University whose primary source of funding is from mandatory student body fees. A.S. Departments include the Cesar Chavez Community Action Center, Child Development Center, General Services Center, Human Resources, Information Technology, Events, Marketing, Print & Technology Center, Student Government, and Transportation Solutions.
Position Summary
The Events Assistant is responsible for assisting and/or leading the creation, coordination, and execution of core A.S. events and partnership events. This includes, but is not limited to: brainstorming and researching event ideas; writing and planning timelines, event schedules, staffing plans and supply lists; drawing site maps; coordinating event details; promoting and marketing events; loading, transporting, setup and cleanup of event equipment; and event evaluation and record keeping. This position will also assist with department administration and outreach to the University and local community.
Essential Functions:
- Manage and track the A.S. equipment rental program for student clubs and organizations,
including check-out, return, and condition reporting.
- Maintain and organize event equipment inventory and storage areas.
- Assist with setup, takedown, and transportation of equipment for A.S. events.
- Provide on-site event operations support, including equipment handling, troubleshooting, and
logistical coordination.
- Support Events Student Assistants and professional staff in carrying out A.S. events.
- Maintain accurate records of equipment use, damages, and repairs.
- Assist with department administration, including filing, organizing, and maintaining a safe work
environment.
- Participate in department staff meetings, organization-wide training, and development activities.
- Represent Associated Students in a positive and professional manner when interacting with
students, staff, and campus partners.
- Work with University and community partners in a positive and professional manner
- Assist with volunteer coordination for A.S. major events and programs
Knowledge, Skills, And Abilities:
- Strong organizational and time management skills.
- Ability to lift and transport event equipment (up to 40 lbs).
- Ability to adapt to multiple priorities and work in a fast-paced environment.
- Excellent teamwork and communication skills.
- Basic knowledge of equipment handling, storage, and general hardware preferred.
- Proficiency in Microsoft Office applications.
- Familiarity with inventory management or equipment tracking systems is a plus.
- Basic knowledge of event coordination and volunteer management
Work Environment, Hours, and Physical Demands
- This job operates in an office, outdoors, and at event venues; requires routine use of event
and office equipment.
- The position requires availability Monday–Wednesday from 10:00 AM to 3:00 PM for
Equipment Rental Program order fulfillment. Standard hours are Monday–Friday, 8:00
AM–5:00 PM, with occasional evening and weekend work depending on event needs. - Must be able to lift and carry event equipment or supplies up to 40 pounds..

Required or Preferred Education and Experience
- Must be a matriculated SJSU student.
- Hospitality Management, Recreation, or Marketing majors are preferred.
- Previous event planning and leadership experience preferred.
