Position Summary
The Parts Department Manager is responsible for overseeing the daily operations of the parts and equipment department, including operating the parts sales counter. This role ensures accurate inventory management, efficient workflow, profitability, and exceptional customer service. The manager also supports service technicians, installation crews, and contractors by providing the right parts in a timely manner.
Key Responsibilities
Department & Counter Operations
- Manage and actively run the HVAC parts sales counter, assisting walk-in customers, contractors, and technicians.
- Oversee daily operations of the department to ensure efficiency and profitability.
- Implement procedures to improve customer service, inventory control, and workflow.
- Monitor counter sales, gross margins, and inventory turnover.
Inventory & Purchasing
- Maintain proper stock levels of HVAC parts, filters, controls, and equipment.
- Forecast seasonal demand and adjust inventory to support service and installation needs.
- Source and negotiate with vendors for competitive pricing, delivery terms, and warranties.
- Ensure all stocked parts meet quality and safety standards.
Customer Service
- Provide prompt, knowledgeable assistance at the sales counter.
- Resolve escalated customer issues professionally and quickly.
- Develop strong relationships with repeat customers to encourage loyalty.
- Coordinate with service and sales departments to ensure seamless support.
Team Leadership
- Supervise, train, and mentor parts and warehouse department staff.
- Set expectations for sales counter performance and customer service.
- Promote a team-oriented, safe, and positive workplace.
Financial Management
- Develop and manage the parts and warehouse department budget.
- Implement pricing strategies that balance competitiveness and profitability.
- Review department sales, expenses, and inventory reports regularly.
Qualifications
- Experience in HVAC parts sales or department management required.
- Strong knowledge of HVAC systems, components, and equipment.
- Hands-on experience working at a sales counter or in a customer-facing role.
- Proficiency with parts management or ERP software, and general business systems.
- Excellent organization, communication, leadership, and problem-solving skills.
- High school diploma or equivalent required; associate’s or bachelor’s degree in business, supply chain, or related field preferred.
Working Conditions
- Full-time position, Monday–Friday
- Combination of counter service, office work, and warehouse oversight.
- Fast-paced environment with frequent customer interaction and multitasking.
Compensation based on experience and proven track record.

Pay: $63,000.00 - $65,000.00 per year
