Job Summary
We are seeking a detail-oriented part-time Administrative Associate to join our team to help during spikes in business and to cover team time off! This role is perfect for someone who thrives in a fast-paced office environment, enjoys multitasking, and is comfortable working with limited supervision. As a member of our administrative team, you will handle a broad range of administrative functions that keep the office and claims process running smoothly. The scope of this role is intentionally wide. Assignments will vary depending on business needs and may shift over time. Not all duties will apply at once, and some may never be assigned during employment. and visitors alike.
Responsibilities
General Office Administration
- Answer and direct incoming calls, greet visitors, and route inquiries to the appropriate staff.
- Maintain both electronic and physical filing systems.
- Maintain tidy and clean common areas.
Claims Support
- Enter new claim assignments into our technology.
- Create paper files where needed.
- Transcribe dictated reports and letters.
- Format and proofread inspection summaries, letters, and reports.
- Track deadlines and follow up on outstanding documents.
- Communicate with insureds, contractors, and carrier representatives as directed.
Financial & Billing Support
- Upload and verify appropriate time log entries.
- Upload and verify expenses billed to clients.
- Prepare invoices per the appropriate fee schedule or type.
Special Projects/Other Assignments
- Research vendors, contractors, or claim-related information as requested.
- Compile data for time studies, performance metrics, or projects.
- Provide support for IT coordination, system rollouts, or process improvements.
Other duties as assigned by management.
