Associa is hiring a Facilities Manager to support its HOA community in Lake Frederick. The Facilities Manager will source and manage all maintenance contacts, contractors, vendors, and service provides to ensure the community is well maintained and cared for.
The Facilities Manager oversees the facilities and grounds common areas to ensure everything is in working order and well maintained. To evaluate problematic systems and determine what repairs needs to be performed. Responsible for facilities overall maintenance, safety and aesthetically, evaluations and accident investigation as well as filing reports. Assist with creating scope of work and coordinating with General Manager/Engineers and with building or complex management, also includes ensuring vendor work performed meets safety requirements, and all work follows the scope of work, per contract. This position is also responsible for in-office support for administering the collection and compilation of information for billing. Issuing, scheduling, processing and tracking the completion of work orders. At times, this job may require the Facilities Manager to be on call to respond to emergency maintenance situations. The Facilities Manager may be expected to have some experience in handiwork, including electrical, heating and cooling, plumbing, carpentry, and painting. These jobs are delegated by the Facilities Manager.
Job Duties and Responsibilities:
- Arrange for building, common area and fixture repairs.
- Supervise all general building and common area maintenance.
- Supervise maintenance of landscaping and upkeep of grounds.
- Coordinate with outside contractors to perform activities, repairs, preventative maintenance on building and grounds appearance.
- Supervise outside contractors, contracted service providers associated with facility and maintenance and operations.
- Assist GM with facilities budget and project planning tasks. Report on activities, budget, supplies, and planned projects with GM.
- Maintain, update, and plan the schedule of contracted vendors.
- Inspect sites regularly, responding to complaints and evaluating current status and needs. Review, evaluate, and prioritize request for maintenance.
- Other duties as requested.
Qualifications:
- Bachelors Degree or other industry-related designations Preferred.
- 3 years of Management and/or Supervisory Experience in residential maintenance.
- Customer service driven, team oriented, proactive communication skills (written and spoken), strong follow-up skills.
- Ability to prioritize tasks, manage time effectively, and manage multiple projects in various staged of completion.
- Self-motivated and self-directed.
- Knowledge of general maintenance requirements; HVAC, electrical and plumbing codes and maintenance requirements; OSHA worksite, State, and local governmental safety requirements (documentation, safety, required reporting, regulations, etc.).
