What are the responsibilities and job description for the Administrative Assistant (Part Time) position at Associa?
The Dartmouth Group is hiring a part time Administrative Assistant to support its condominium community near the downtown Boston, area.
Work schedule: MWF, 7am - 3:30pm EST.
Daily responsibilities:
- Meet and greet visitors, guests, homes owners, vendors, and members of the board.
- Research and respond to inquires in-person, by phone, and email.
- Manage all communication to homeowners to include mass emails, written correspondence, letters, violation notices, forms, monthly newsletter, etc.
- Assemble Welcome Packets, Resale Packets, Board packets, etc.
- Assist in conducting routine property inspections and service evaluations, monitoring compliance of policy and procedures.
- Ensure Concierge Convenience inventory remains stocked with all inventory items if applicable. Replenish items as needed. Order supplies as needed.
- Enter, update, and close out Work Order Tickets. Schedule and coordinate vendors onsite.
- Code and process invoices, assist with AP and AR functions.
- Monitor security cameras and devices.
- Other projects as requested.
Pay rate: $25-$26 an hour.
Qualifications:
- 2 years of experience providing administrative, office support, and customer service.
- Proactive communication style with excellent communication skills, written and spoken.
- Attention to detail, ability to prioritize tasks, and meet time sensitive deadlines.
- Solutions driven and team oriented.
- Well-versed in using Microsoft Office Suite (Word, Excel, and Outlook).
