Job Summary: Provide administrative support to the Division Manager, Project Managers and Estimating. General administrative support for contract administration duties that will include (not limited to): filing, copying, organizing, data entry, and quality document control.
- Provide direct administrative and clerical support to the Division, Project Managers & Estimating Dept. as assigned to include (not limited to): filing, copying, collating, organizing, etc.
- New job set up in Viewpoint
- Fill out "New Job Setup" forms
- Subcontract accounting tasks: monthly payment applications and retention payment
- Process Accounts Payable invoices according to procedure (i.e. scan, code, etc)
- Communicate with various vendors/suppliers for missing invoices
- Set up Purchase Orders in Viewpoint
- Assist in all Time & Material (T&M) billing processes as directed
- Request, receive, log, verify, and maintain current subcontractor insurance certificates
- Prepare, collate, and distribute all Close-Out documents per project and as directed
- Miscellaneous assistance in all administrative processes as related and as requested
- Take meeting minutes at PM meetings, create, and distribute list of action items
- Viewpoint data entry
- Manage multiple priorities meeting all deadlines in a complete and accurate manner
- Creating new job files and maintain an accurate and up-to-date project file
- Order Insurance, Workers Comp, Bonds, Pre-liens as directed
- Prepare and follow up with Customer Surveys
- Provide administrative/clerical support for special projects as requested

Requirements and Education:
- High School diploma or equivalent, some college preferred
- Good knowledge of and an ability to use English composition for the purposes of understanding and responding to verbal inquiries, maintaining accurate files, and providing written and oral communication.
- Able to use a computer, word processing software, and general office equipment. Ability to learn new software, processes, and procedures. Must have good solid math abilities in basic calculations
- Excellent customer service and problem-solving skills in a professional environment
- Computer proficient with MS Office applications (Excel, Windows, Outlook, etc.)
- Must be able to take direction and complete projects as assigned
- Good math skills with basic computations such as add, subtract, multiple, divide, etc
- Must be able to multi-task, organize and prioritize work with minimal supervision
- Remain calm in high stress environments while multi-tasking
- Courteous, personable, and professional manner
- Self-motivated, able to work without direct supervision and problem-solve effectively
