Required Skills & Abilities

What Youll Do

  • Coordinate accounts payable activities, vendor invoices, deposits, and vendor records with accuracy and follow-through
  • Assist with month-end accounting tasks and work with outside accounting partners to ensure information is complete and current
  • Process bi-weekly payroll accurately and on schedule
  • Coordinate employee benefits administration and maintain confidential personnel records
  • Respond to employee questions related to payroll and benefits in a professional, service-oriented manner
  • Partner with payroll vendors, benefit providers, and other external partners to support ongoing administrative needs
  • Maintain business licenses, renewals, permits, memberships, and regulatory filings
  • Manage office supplies, calendars, records, filing systems, travel coordination, meetings, and internal office communications
  • Track deadlines carefully and ensure required administrative tasks are completed on time
  • Coordinate with the IT provider to support issue resolution, onboarding, offboarding, and equipment tracking
  • Assist with implementing technology and AI tools that improve administrative efficiency
  • Help maintain an organized, professional, and welcoming office environment by coordinating maintenance vendors and office services

Other Requirements

Experience & Education

  • Two or more years of experience in an Office Administrator, Office Manager, Business Administrator, or similar role preferred
  • Experience with payroll, benefits administration, accounts payable, vendor coordination, or office operations preferred
  • Experience supporting a small or mid-sized business is a plus
  • High school diploma or equivalent required
  • Associates or Bachelors degree in Business Administration, Accounting, Human Resources, or a related field preferred
