What are the responsibilities and job description for the Office Administrator position at Cascade Christian Church?
Purpose
· To provide varied administrative & clerical support to the Senior Pastor, office staff, and church volunteers.
· To facilitate and manage appropriate and timely communication within the Church and to the community as needed.
Duties & Responsibilities
- Answer telephone calls using a multi-line phone system, including transferring calls to the appropriate person(s), after taking down detailed information to provide the best assistance.
- Welcome visitors to the church office, including contacting the appropriate person(s) who may be able to better assist them, if needed.
- Provide varied administrative and clerical support, as well as facilitate appropriate and timely communication within the Church and to the community, using the following method(s):
- Preparation of weekly worship and any special service bulletins and announcements.
- Preparation of our monthly in detail Cascadian newsletter which is both printed and emailed and preparation of a shorter weekly enewsletter.
- Preparation and sending of Constant Contact group e-mail(s).
- Developing and posting special event flyers – both physical and digital
- Updating and maintaining Church bulletin boards, printed and online calendars.
- Scheduling events and reserving Cascade Christian Church rooms / buildings. Being the primary organizer of the church calendar. This includes weekly going through the door schedule
- Helping groups who are using the space with our building use agreement and work with facilities supervisor to make sure spaces are prepared correctly
- Promoting Church and community events using Facebook, Instagram, and other social media.
- Reviewing weekly worship attendance sheets and noting changes in personal information provided.
- Recruiting and scheduling volunteers for Sunday worship and other help as needed.
- Recruiting, scheduling, and training volunteers to assist in the church office by answering telephones, greeting visitors, folding bulletins, and working on special projects.
- Keeping our membership database up to date. Recording all weddings, funerals, baptisms, affirmations of faith, new church membership, and ordinations in the Pastoral Record book, and in Breeze database.
- Providing support for annual church meeting, including preparation of pledge cards and mailing(s) for yearly Stewardship Campaign.
- Providing support for special projects
- Maintaining the list of veterans
- Performing general office tasks including development of Power Point presentations, assembling Church Visitor Welcome Packets, refilling postage, ordering office supplies, ordering funeral and seasonal flowers, etc.
- Other task(s) may be assigned by the Senior Pastor.
Qualifications
· A Christian believer who is spiritually sound, and committed to the church’s vision, leadership, and congregation.
· Demonstrated varied administrative and clerical skills, including the use of office equipment such as telephones, copiers, etc.
· Demonstrated understanding of appropriate and timely communication in the world we live in today, including the use of various platforms of social media.
· Demonstrated skills at creating designs using Canva for bulletins and posters that are visually appealing and using Constant Contact for group emails.
Job Type: Part-time
Pay: $20.00 - $22.00 per hour
