Content Operations Specialist (In-office, Irvine, CA)

As the Content Operations Specialist, you will assist in overseeing the day-to-day operations of the photography studio. This role ensures efficient workflow, management of content requests, coordinates schedules and supports photographers to deliver high-quality visual content to be used across a global organization.


Responsibilities:

Content Requests:

  • Manage internal stakeholder content requests by receiving, reviewing and organizing briefs to ensure all submissions are complete and actionable
  • Communicate with stakeholders to clarify project details, timelines and deliverables as needed
  • Coordinate the seamless handover of projects to in-house producers or studio teams providing complete documentation, assets and project briefs
  • Oversee and ensure the timely delivery of final marketing content assets to stakeholders
  • Maintain a centralized content request log to track submission status, priority levels and deadlines

Financial Support:

  • Support financial operations by coding and routing vendor invoices to finance for processing
  • Act as point of contact for vendors regarding invoice status and payment timeframes
  • Track and maintain monthly budget expenditures, assist with forecasting and reconcile against overall team budget
  • Complete expense reports and maintain accurate financial documentation
  • Assist in preparing monthly and quarterly financial summaries for leadership review

Production Support:

  • Provide production support for in-house photo and video shoots, including schedule coordination
  • Maintain studio operations, manage inventory of studio supplies, order replacements as needed
  • Maintain and update project trackers, workflows and documentation to ensure visibility across all active projects, while keeping project management systems current and accurate
  • Design and produce monthly presentations in collaboration with the team to showcase wins and learnings
  • Support post-production coordination including asset organization, file naming conventions and delivery to the Digital Asset Management (DAM) system

Requirements:

  • Bachelor’s degree in Marketing, Communication, Business or related field
  • 3-5 years experience in a Photography Studio, fast-paced, high-pressure environment
  • 3-5 years Experience with project management tools such as Creative Force, Workfront, Monday.com
  • 3-5 years Experience with SAP or similar financial systems, specifically invoicing functions

Competencies (Knowledge, Skills & Abilities):

  • Experience in content production, studio environments or marketing teams/stakeholders preferably within sports apparel or consumer brands on a global scale
  • Ability to work independently and collaboratively in a dynamic, fast-paced studio environment
  • Strong communication and organizational skills with the ability to effectively collaborate with internal and external stakeholders/vendors
  • Ability to manage multiple projects simultaneously while maintaining strong attention to detail and achieving deadlines
  • Microsoft Product knowledge and experience; Advanced Excel, Advanced PowerPoint

  • Standing, walking, bending, lifting
  • Ability to lift up to 30lb.
