ASPI seeks a Program Officer for its Washington, D.C. office to provide administrative and research support to its Senior Vice President. The Program Officer will also provide logistical and coordination support for the office, ASPI policy initiatives, content and project development, policy-related events, and the internship program.
Responsibilities
Project and Event Management
- Oversee special and time-sensitive projects for the Senior Vice President, including coordinating media engagements during news developments, preparing rapid-response research, drafting briefing memos for meetings, and monitoring key policy developments.
- Support trade team’s initiatives, including corresponding with implementation partners, scheduling meetings, drafting program agendas, booking travel and other logistics needs, managing budgets, conducting outreach to speakers and participants, and other duties as assigned.
- Manage international and domestic travel of the Senior Vice President and other staff as appropriate, including booking air/train travel, hotels, drivers, and meeting venues, creating itineraries, working with external points of contact, assembling travel briefing books, processing visa applications, preparing travel devices, and anticipating potential travel issues.
- Assist in planning of in-person roundtables and public events, including but not limited to mailing invitations, tracking attendees and speakers, booking event space, meeting guests, coordinating staff support, setting up for events, and other associated tasks.
- Support trade team member’s projects as needed, such as assisting with research, taking notes for meetings with external parties, or providing first drafts for papers.
- Sustain the daily calendar of the Senior Vice President and lead meeting scheduling, logistics planning, hosting of in-office guests, and collecting information for meetings with staff and external parties.
- Proofread and format correspondence, talking points, and articles written by the Senior Vice President, as needed.
- Act as a liaison between staff members and Senior Vice President, advising staff on Senior Vice President’s daily priorities, delegating work assignments from Senior Vice President to interns and other staff members, and keeping trade trade informed of SVP’s priorities, as well as advising the Senior Vice President on office issues, and other items as needed.
- Prepare and reconcile the monthly expenses of the Senior Vice President, including requesting reimbursement from external partners.
- Manage contact lists of the Senior Vice President and trade team and assist with correspondence as needed.
- Manage office functions related to correspondence, acknowledgements, responding to billings, inquiries, and requests for assistance/information from the public and other entities as appropriate.
- Assist in coordinating operations of the Asia Society Policy Institute’s D.C. office, including acting as the primary point of contact with building management, vendors, external contactors, and information technology teams, and ensure all office materials for Senior Vice President and other staff are stocked.
- Support intern recruitment, on-boarding and training.
- Perform other duties as assigned.
- Bachelor's Degree in related field; Master’s Degree preferred
- At least 2 to 3 years of related work experience
- Skills and Abilities
- Demonstrated interest in Asia and Asia-related policy issues (experience in Asia preferred)
- Demonstrated interest in International Trade
- Must be able to coordinate a variety of tasks effectively, simultaneously and consistently follow up on details;
- Enjoys working in a fast-paced environment, where timely and accurate work is expected
- Highly organized, with strong work ethic, attention to detail, and initiative;
- Excellent written and oral communication skills, including proofreading and editing skills, and ability to research information and present it concisely;
- Resourcefulness, with an orientation to measurable results;
- Skilled at interacting across cultures and with diverse constituencies, including experts, trustees, funders/donors, and all levels of staff with tact and good judgment;
- Excellent computer skills. Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook); knowledge of Prezi and database software preferred;
- Team player - flexible and willing to assist where needed.
