Job Description
The Front Desk Coordinator is the central point of contact for our all-girls independent school and serves as both a welcoming presence and a professional gatekeeper. This role is more than reception—it is an essential part of ensuring the daily operations of the school run smoothly, securely, and with the highest standard of excellence.
Acting as an ambassador of the school's values, the Front Desk Coordinator is responsible for creating a warm, respectful, and organized environment for students, parents, faculty, staff, and visitors. The successful candidate will combine outstanding customer service with sharp organizational skills, professional judgment, and the ability to remain alert, discerning, and responsive in matters of campus security and safety.
Key Responsibilities
Community Engagement & Representation
- Serve as the welcoming face and voice of the school, providing a polished first impression for parents, students, visitors, and vendors.
- Communicate with professionalism, warmth, and discretion across all interactions—by phone, in person, and in writing.
- Uphold the school's mission and values by fostering an environment of respect, trust, and confidentiality.
Safety, Security & Professional Judgment
- Act as the first point of contact for all campus visitors, verifying credentials and ensuring adherence to school safety protocols.
- Remain observant, discerning, and proactive in identifying and escalating potential safety or security concerns.
- Balance vigilance with courtesy, ensuring that guests feel welcome while maintaining the integrity and security of the school environment.
Front Office Leadership & Operations
- Maintain a secure, efficient, and professional reception area that reflects the standards of the school.
- Coordinate daily scheduling needs, including meetings, appointments, and campus events.
- Serve as a reliable source of information and support for parents, faculty, and staff, directing inquiries to the appropriate departments as needed.
Administrative Support
- Manage front office communications, including mail, packages, deliveries, and digital correspondence.
- Assist with student, parent, and faculty record-keeping, ensuring accuracy and confidentiality.
- Provide administrative assistance to school leadership and operational teams as requested.
- Support planning and logistics for school events, including occasional evenings and weekends.
Qualifications
- High school diploma required; Associate's degree, administrative certification, or related professional training preferred.
- Minimum of 1-2 years of professional experience in a front desk, administrative, or school support role.
- Exceptional interpersonal skills with a polished and professional demeanor.
- Strong written and verbal communication abilities, including discretion in handling sensitive information.
- Proficiency with Microsoft Office Suite, email systems, calendar tools; experience with student information or scheduling software is a plus.
- Proven ability to multitask, prioritize, and remain composed in a fast-paced environment.
- Demonstrated ability to remain alert, observant, and proactive in ensuring a safe and secure campus environment.
- Commitment to customer service excellence and community engagement.
Physical Requirements
- Full-time, in-person role with regular hours 7:00 a.m. - 3:00 p.m., Monday through Friday.
- Flexibility required for occasional evening or weekend school events.
- Daily interaction with students, parents, faculty, staff, and visitors.
- May involve periods of sitting, managing busy office traffic, and occasional lifting of supplies (up to 25 lbs).
Employment Eligibility & Screening Requirements
Employment is contingent upon the successful completion of all required screenings and clearances, including:

- Any additional screenings required by South Carolina state law or Ashley Hall policy
