Position Summary
The Operations Manager provides administrative, organizational, and operational support for the Habitat ReStore and Ashe County Habitat for Humanity. This position is responsible for many of the administrative and paperwork functions associated with ReStore operations, including reporting, scheduling support, donor records, volunteer coordination, and customer service. The Operations Manager works closely with the Executive Director to ensure efficient daily operations and excellent service to donors, volunteers, and customers.
Essential Duties and Responsibilities
Administrative Support
- Maintains accurate records related to sales, donations, sales tax, timekeeping, and operational expenses.
- Assists with preparation of reports for the Board of Directors.
- Maintains donor, volunteer, and customer databases.
- Completes schedules for employees, volunteers, donation pickups, and deliveries.
- Supports inventory tracking and operational documentation.
- Completes and tracks daily bank deposits.
- Answers phones, checks voicemail messages, responds to emails, and customer inquiries.
- Collects post mail, reviews, and directs accordingly.
ReStore Operational Support
- Assists with daily ReStore operations as needed.
- Supports merchandise ordering.
- Ensures operational supplies are maintained in stock (sales tags, sold cards, paper towels, cleaning supplies, t-shirts, register paper, pricing gun stickers, etc.)
- Helps to maintain a clean, organized, and safe work environment. Must complete “Competent Person” training.
- Recruits, trains, motivates, and retains volunteers and staff.
- Provides customer service and donor support.
- Assists with volunteer coordination, training, and onboarding.
Communications & Community Engagement
- Assists with social media posts, marketing efforts, and donor communications.
- Supports fundraising activities, special events, and community outreach efforts.
- Helps promote the mission and programs of Ashe County Habitat for Humanity.
Organizational Support
- Works collaboratively with the Executive Director to improve efficiency and workflow.
- Provides operational and clerical support for special projects and organizational initiatives.
- Attends monthly Board meetings in person.
- Performs other duties as assigned.
Required Qualifications
- High school diploma or equivalent.
- Strong organizational and administrative skills.
- Excellent written and verbal communication skills.
- Proficiency with Google Workspace and/or Microsoft Office applications.
- Ability to manage multiple tasks and deadlines effectively.
- Strong customer service and interpersonal skills.
- Demonstrated support for the mission of Habitat for Humanity.
Preferred Qualifications
- Experience in office administration, retail operations, volunteer supervision, or nonprofit support.
- Experience working with volunteers and community organizations.
- Experience with bookkeeping, scheduling, or database management.
- Familiarity with social media and marketing tools.
- Spanish language speaking skills.
- Some college.
Physical Requirements
- Ability to sit, stand, and move throughout the workday.
- Ability to occasionally lift up to 40 pounds.
- Ability to work in both office and retail environments.
Other Requirements
- Flexibility to work occasional Saturdays and special events.
- Criminal background check and drug screening is required.
- Valid driver’s license.
Compensation & Benefits
- $18-22/hour based on qualifications and experience.
- Flexible scheduling.
- Five paid holidays annually (if full-time eligible).
