About the Role
We’re looking for a proactive and resourceful Office Administrator to manage daily office operations, assist company leadership, and help ensure a positive and professional environment for employees and visitors. This individual will work closely with the CEO, HR team, and other executives, providing a high level of administrative and operational support across multiple functions.
This is a contract-to-hire position, requiring an onsite presence 4 days per week (with Fridays remote after an initial training period).
Key Responsibilities
- Serve as the first point of contact for guests, employees, and vendors, representing the company with professionalism and warmth
- Provide comprehensive administrative assistance to the CEO and leadership team, including calendar management, travel arrangements, and meeting coordination
- Manage incoming mail and deliveries, ensuring timely distribution throughout the office
- Coordinate office maintenance requests, oversee facility needs, and partner with the Security team to uphold safety standards
- Prepare and distribute company-wide communications and announcements
- Support HR initiatives including onboarding, employee badging, and maintaining confidential personnel files
- Assist with planning and executing company meetings, employee events, and leadership travel logistics
- Maintain organized systems for document storage (physical and digital)
- Order, stock, and track office and shipping supplies
- Provide occasional support to Accounting and other departments for administrative tasks and special projects
Qualifications
- 2-5 year's related experience required
- Previous experience providing administrative support in a professional, corporate setting
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Visio)
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail and time management abilities
- Comfortable managing multiple priorities independently in a fast-paced environment
- Personable, upbeat, and confident interacting with staff at all levels
- Ability to handle confidential information with discretion
Preferred Skills & Experience
- Experience in event planning or coordination
- Prior exposure to HR support or onboarding processes
Education & Physical Requirements
- High school diploma required; bachelor’s degree in business, administration, or related field preferred
- Ability to occasionally lift or move items up to 15 lbs (such as office supplies or equipment)
NOTE - pay will depend on previous experience
Salary : $24 - $28
