This role is critical to ensuring efficient communication between our customers, office staff, and field technicians while delivering an exceptional service experience.
Position Summary
The Service Coordinator serves as the primary point of contact for customers and plays a vital role in coordinating daily service operations. This position works closely with two other Service Coordinators, Service Technicians, the Office Manager, Service Manager, and company leadership to ensure efficient scheduling, dispatching, and administrative support.
The ideal candidate is highly organized, detail-oriented, thrives in a fast-paced environment, and enjoys working with both customers and field personnel.
Essential Responsibilities
- Answer incoming customer calls professionally and courteously.
- Coordinate daily service calls and workflow alongside two other Service Coordinators.
- Dispatch service technicians efficiently to maximize productivity and customer satisfaction.
- Utilize CertainPath (ServiceLine) software extensively for scheduling, dispatching, invoicing, and service management.
- Process all incoming paperwork from field technicians, including daily reports, receipts, work orders, and related documentation.
- Review customer invoices for accuracy and completeness before submitting to the Accounts Receivable team.
- Monitor, review, and approve employee time records using ADP and TimeCo.
- Communicate effectively with technicians regarding schedules, customer concerns, and service updates.
- Assess customer service requests and determine appropriate scheduling based on the nature of the plumbing issue.
- Maintain accurate customer records and documentation.
- Work collaboratively with office staff and management to improve workflow and customer satisfaction.
- Identify potential issues and proactively communicate concerns to management.
Qualifications
- Previous experience in customer service, dispatching, scheduling, or service coordination preferred.
- Plumbing industry experience or general plumbing knowledge is highly desired.
- Experience using CertainPath, ServiceLine, ServiceTitan, or similar field service management software is preferred.
- Strong computer proficiency, including Microsoft Office and data entry.
- Excellent organizational and multitasking skills.
- Strong attention to detail.
- Outstanding verbal and written communication skills.
- Ability to remain calm and professional in a fast-paced environment.
- Ability to work collaboratively with office staff and field technicians.
- Bilingual (English/Spanish) preferred.
