Our boutique law firm client has an immediate opening for a Legal Assistant for their community association law practice in its Coral Gables office. Candidate must have strong written and verbal communication skills, and experience supporting attorneys in a fast-paced legal environment. This position is on-site Monday through Friday.
Key Responsibilities
• Provide administrative support to two or more attorneys.
• Draft letters, meeting packages, amendments, addendums, and agreements with attention to detail.
• Answer phone calls, take messages, and redirect calls when appropriate.
• Perform conflict checks, opening and closing of matters, and new client proposals.
• Maintain regular communication with supervising attorneys and clients.
• Conduct corporate searches and navigate State and DBPR websites for information.
• Maintain organized electronic and physical files, including document and data management.
• Able to adapt to changing priorities and work in a fast-paced environment with a “can do” positive attitude.
Requirements
- Minimum of 3 years experience at a law firm
• Strong organizational skills and exceptional attention to detail.
• Ability to follow detailed instructions and take ownership of assigned tasks and processes from start to completion.
• Ability to manage multiple tasks and deadlines simultaneously.
• Proficiency with Microsoft Office 365 with advanced proficiency in Microsoft Word, including use of templates, styles, track changes, and document automation tools.
• Ability to proofread legal documents accurately.
• Strong interpersonal and communication skills, with a professional and service-oriented approach.
• Ability to work effectively in a team-based office environment, including supporting attorneys who may be working remotely or attending offsite meetings. Preferred Skills
• Experience preparing draft borrower’s counsel opinion letters for community association loans using firm-approved templates and Microsoft Word document automation tools, under attorney supervision.
• Familiarity with loan commitments, financing transactions, and closing documentation.
• Ability to populate opinion letter templates with transaction-specific information and assemblesupporting documentation, including governing documents, resolutions, and corporate search results.
• Experience conducting title searches.
• Familiarity with community association (HOA/condominium) law.
• Bilingual in English and Spanish preferred due to client communication needs.
• Familiar with legal research tools (e.g., TLO), document management systems (e.g. AIM, NetDocs, ATIDS).
