Ascendo Resources is partnering with a well-respected law firm client that is seeking an experienced Legal Administrative Assistant to provide comprehensive support within their fast-paced litigation practice in their Tampa office.
This role is ideal for a detail-oriented professional who thrives on managing multiple priorities while delivering exceptional service to attorneys and clients.
The position requires a strong understanding of legal administrative workflows, court procedures, and law firm technology, along with the ability to communicate effectively across all levels of the organization.
Key Responsibilities
- Provide administrative support to attorneys, managing a high volume of tasks and competing priorities
- Coordinate case intake, including opening new matters and assisting with conflicts checks
- Prepare, edit, and proofread legal documents, correspondence, and filings with a high level of accuracy
- File pleadings in both federal and state courts, ensuring compliance with all applicable rules and deadlines
- Maintain and track critical deadlines, calculate key dates, and ensure timely filings and submissions
- Manage attorney calendars, including scheduling client meetings, court appearances, and deadlines
- Assist with client billing processes, including time entry support, editing pre-bills, and coordinating invoice distribution
- Track and process expenses, reimbursements, and payments using firm systems
- Organize and maintain electronic and physical case files
- Handle incoming and outgoing communications, including phone calls, emails, and mail
- Coordinate logistics for client meetings and occasional business development events
- Collaborate with internal departments such as billing, records, and IT to ensure seamless operations
Qualifications
- 3–5 years of experience in a law firm environment, preferably supporting litigation practices
- Hands-on experience with both federal and state court filings required
- Proven ability to support multiple attorneys simultaneously
- Strong knowledge of court rules, procedures, and e-filing systems
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail and the ability to manage deadlines effectively
- Proficiency with legal and business software, including Microsoft Office applications
- Ability to work both independently and collaboratively in a team environment
