MiBA (Meaningful Insights Biotech Analytics) is a fast-growing health-tech and analytics company focused on transforming provider data into meaningful, actionable insights. We are looking for a highly organized, detail-oriented, and proactive Administrative Assistant to support the daily operations of our leadership team and office. This position is full-time and fully in-office at our downtown Tampa headquarters.
About the Role
The Administrative Assistant will play a critical role in keeping MiBA running smoothly. You will support leadership, maintain office operations, coordinate schedules, assist with administrative processes, and ensure exceptional internal communication. The ideal candidate is resourceful, systems-oriented, and able to handle multiple priorities with professionalism and discretion.
Key Responsibilities
Administrative & Operational Support
- Manage calendars, schedule meetings, and coordinate internal team activities.
- Maintain the company’s master task lists, reminders, and operational workflows.
- Handle daily office operations including supply ordering, vendor coordination, mail, shipments, and general tidiness.
- Support leadership with administrative tasks, document prep, and follow-up items.
- Assist with maintaining SOPs, internal documentation, and workflow checklists.
Office Coordination
- Serve as the point of contact for building management, visitors, and vendors.
- Support preparation for meetings, including materials, agendas, and meeting spaces.
- Manage lunch/catering orders and office hospitality needs.
- Maintain a clean, organized office environment aligned with MiBA’s professional standards.
Project, Data & Operational Support
- Help track ongoing initiatives across teams and ensure timely follow-up.
- Assist with light data entry, organization of materials, and preparation of simple reports.
- Support operations, sales, and analytics teams with administrative requests as needed.
- Maintain confidentiality while working with sensitive operational, financial, or client information.
Executive & Team Support
- Provide administrative support to leadership and project owners.
- Coordinate travel arrangements and logistics as needed (minimal travel required).
- Proactively anticipate needs, flag issues early, and help remove operational obstacles.
Qualifications
- 2–4 years of administrative or office operations experience (healthcare, biotech, analytics, or tech environments are a plus).
- Strong organizational skills with the ability to multitask and manage shifting priorities.
- Professional, polished communication skills—written and verbal.
- Highly reliable, proactive, and able to work independently with minimal oversight.
- High integrity and discretion handling confidential or sensitive information.
- Proficiency with:
- Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Google Workspace
- Project management or task-tracking tools (Notion, Asana, Trello, etc.)
- Ability to thrive in a fast-paced, evolving startup environment.
- Must be available full-time, fully in-office in downtown Tampa.
