The Executive Personal Assistant will focus primarily on providing support to the CEO/Owner with personal commitments and some business where there is crossover. With excellent customer service skills, the Executive Personal Assistant will manage a complex and always changing calendar of personal arrangements and business commitments. The successful Executive Personal Assistant will work with internal and external business and personal constituents to arrange trips, dinners, meetings and the necessary support materials and resources. Additional responsibilities for the Executive Personal Assistant include the following:
Responsibilities Include:
- Organize the CEO/Owners personal commitments including travel, business relationships, family affairs. Arrange visas, resources and activities.
- Devising/maintaining office systems, data management and filing, including troubleshooting technology, applications.
- Own and monitor the Founder’s ever-changing calendar and schedule to ensure all details are noted and up to date on his calendar, including details surrounding partners travel arrangements and family related activities.
- Oversee all aspects of the Founder’s events to include strong attention to detail, research, plan, organize and create 5-8 events a year with 20 to 150 attendees.
- Manage work and family diaries/schedules. Reminding the manager/executive of important tasks and deadlines.
- Book all travel online for the Founder, to include all his personal and hunting trips. Travel management includes booking all air, hotel, and transportation arrangements, with detailed itineraries.
- Proactive communication with the Founder about his schedule and projects, reminders of important tasks, deadlines and events both at work and at home.
- Ability to take fast-notes or dictation with accurate transcription.
- Responsible for paying the Founder’s personal invoices to ensure payment is received by the due date.
- Schedule all personal medical, dental, and vision appointments, including submitting and tracking medical records, and receipts for FSA reimbursement.
- Oversee and organize the Founder’s hunting trips, both domestic and international, coordinating hunting vendor-specific services for the hunting activities, licenses, transportation, etc. and organize all aspects and details of the hunting trip with other attendees and guests.
- Assist the Founder’s wife with scheduling events at the Founder’s Ranch, including travel arrangements.
- Personal Property Management, execute and oversee the Founder’s property management-related activities pertaining to his personal residences. Overseeing contractor requests for repairs including follow-up, follow-through, invoice tracking, obtaining necessary permits for on-site property projects, researching and negotiating services for vendor-related services and requests.
Position Requirements
- 5 years of previous Personal Assistant experience supporting busy executive!
- Highly proficient in Microsoft Word, Excel, and Outlook.
- Professional, reliable, flexible and have a positive, can-do attitude.
- Excellent attention to detail with the ability to prioritize.
- Ability to communicate well in both written and verbal communication forms.
Education
- Bachelor's degree preferred or similar work experience
