Job Summary
We are seeking a detail-oriented and organized Financial Administrator to join our team. The successful candidate will be responsible for managing financial records, preparing reports, and ensuring compliance with financial regulations. This role requires proficiency in financial software and a strong understanding of financial principles to support our organization's financial health.

  • Finance professional responsible for managing all aspects of non-profit organization’s accounting, including recording transactions, processing accounts payable and receivable, generating financial reports, grant support, managing payroll, and preparing payroll filings, overseeing the entire financial record-keeping process according to generally accepted accounting principles (GAAP).
  • Proficiency with QuickBooks, Excel, Word, Outlook and general computer skills required. Knowledge of Lightspeed Point of Sale and Wix a plus.
  • Must be able to work independently without supervision.
  • Works 4-5 hours weekly. Schedule is flexible.

Duties

  • The Financial Manager shall be responsible for the day-to-day financial management of the Arts Council within policies and budget established by the Board;

recommend financial policies and procedures;

facilitate compliance with GAAP and standard accounting procedures;

facilitate compliance with contracts, agreements and regulations;

assist with strategic planning, forecasting and analysis;

prepare financial reports;

facilitate audit.

The Financial Manager will work with the Treasurer and Executive Director on reporting to the Board.

Other duties as assigned by Executive Director

ACCOUNTING

Recording financial transactions in compliance with standard accounting principals (GAAP)

Accounts Receivable - Record all receipts and deposits; collections

Accounts Payable – Prepare bill payments and assure appropriate documentation of expenses

Payroll – Human Resources Reporting, New Hire Reporting, New Employee intake documentation according to regulations, Management of Employee Files, Preparation of Payroll and related taxes and reporting.

Preparation of Grant documents, budgets and final reports with Executive Director

Prepare periodic financial reports with Treasurer and Executive Director

Work with auditors in preparation of annual audit documentation

Financial analysis, research and projections

Preparation of annual budgets with Executive Director and Treasurer

GALLERY

Manage and support Lightspeed POS System and Interface with QuickBooks

Prepare consignment distribution reports and checks monthly

TECHNOLOGY

Manage the organization’s financial accounting, monitoring and reporting systems

Manage Point of Sale System; coordinate with database & marketing manager in use

Assist with technology support

GRANT COMMITTEE

Assist inmonitoring applications for compliance with MSAC grant requirements

Coordinate with Program Manager in processing grants, payments

Prepare distributions

Manage files and documentation

SCHOLARSHIP COMMITTEE

Prepare distributions

Manage files and documentation

GENERAL SUPPORT

Other duties as requested by Executive Director.

Experience

  • Proven experience as a Financial Administrator or similar role
  • Strong knowledge of financial software applications (experience with specific software is a plus)
  • Excellent analytical skills with attention to detail
  • Ability to work independently as well as part of a team
  • Strong organizational skills and the ability to manage multiple tasks simultaneously
  • Excellent communication skills, both written and verbal
