The Receptionist serves as the first point of contact for patients and visitors, providing exceptional customer service while ensuring efficient front-office operations. This position is responsible for scheduling appointments, verifying insurance, collecting payments, maintaining accurate patient records in eClinicalWorks (eCW), and supporting providers and clinical staff to ensure a positive patient experience. Dedicated reception customer service representative, motivated to maintain and contribute to company success, excellent work ethic, dedicated team player, reliable and punctual.
Essential Duties and Responsibilities:
- Greet all patients and visitors in a professional, courteous, and compassionate manner.
- Check patients in and out using eClinicalWorks (eCW).
- Verify demographic and insurance information at every visit.
- Obtain required identification, insurance cards, referrals, and authorizations.
- Maintain patient confidentiality in accordance with HIPAA regulations.
Appointment Scheduling
- Schedule new and follow-up appointments according to provider protocols.
- Manage provider schedules to maximize efficiency.
- Confirm appointments and contact patients regarding cancellations or schedule changes.
- Maintain waitlists and assist with same-day scheduling when appropriate.
Telephone Management
- Answer incoming calls promptly and professionally.
- Route calls to the appropriate staff member.
- Take accurate messages and document telephone encounters in eCW.
- Respond to general patient inquiries within scope of practice.
Insurance Verification
- Verify insurance eligibility and benefits prior to appointments.
- Confirm referrals and authorizations when required.
- Notify patients of insurance issues before scheduled visits.
Financial Responsibilities
- Collect copayments, deductibles, balances, and self-pay fees.
- Issue receipts and accurately post payments in eCW.
- Balance daily cash drawer and payment collections according to clinic policy.
Medical Records
- Scan and upload documents into eClinicalWorks.
- Maintain accurate electronic patient records.
- Process requests for medical records according to HIPAA guidelines.
Administrative Support
- Maintain organized reception and waiting areas.
- Monitor office supplies and notify management when inventory is low.
- Assist providers and medical assistants with administrative tasks as needed.
- Complete assigned daily front-office checklists.
- Maintain schedule, review and correct errors
- Answer phone calls and make telephone encounters

- Job requires coverage of 2 office locations (Fort Myers office 20-25min)
Required Qualifications
- High school diploma or GED.
- Minimum 1 year of medical receptionist experience in pain management, orthopedics, or neurosurgery.
- Experience with electronic medical records (EMR); eClinicalWorks experience preferred.
- Knowledge of medical terminology.
- Basic understanding of insurance verification and prior authorizations.
- Proficiency with Microsoft Office and standard office equipment.
- Strong organizational and multitasking abilities.

Pay: $16.00 - $22.00 per hour
