About the Practice:
Art Form Plastic Surgery is a medical and aesthetics practice with ENT, injectables and aesthetic treatments.
Role Overview:
The preferred candidate will be an experienced Office Assistant who understands and prioritizes the importance of the daily operations functioning. We will train the candidate who is willing to learn and has Front Desk experience. The successful candidate will be expected to learn and to become proficient in all aspects of office administration, patient scheduling, billing, insurance navigation, marketing, and office maintenance. Proven dependability, motivation, positive attitude, pleasant demeanor and impeccable grooming at all times are expected and essential.
Key Responsibilities:
- Front Office Reception & Patient Interaction:
- Greet patients and visitors in a professional and welcoming manner
- Answer phones and handle patient inquiries via email and phone, monitor all faxes and seek direction to handle properly.
- Scheduling & Coordination:
- Organize physician calendars, manage patient appointments, and coordinate with surgical centers and hospitals
- Handle scheduling for medical, aesthetic and surgical appointments and procedures
- Marketing & Outreach:
- Promote the practice using various channels including social media, presentations, and community outreach
- Develop and implement marketing strategies to build patient base
- Billing & Insurance:
- Oversee billing and insurance tasks, including pre-authorizations and claims processing
- Ensure accurate and timely updates in the Electronic Medical Records (EMR) platform
- Office Management:
- Maintain office organization, inventory of medical supplies, and general office upkeep
- Work closely with the physician and staff to support practice growth
Qualifications:
- Experience: Prefer proven expertise in medical office functions, in a surgical or aesthetic setting
- Problem-Solving: Strong ability to identify and resolve issues independently
- Personality: Engaging and friendly demeanor with a positive attitude, and the ability to remain calm under pressure
- Communication Skills: Exceptional verbal and written communication skills, with a clear, articulate voice
- Professionalism: Impeccable grooming and appearance to represent the practice's aesthetic brand
- Self-Starter: Dependable and able to prioritize multiple tasks in a fast-paced environment. Demonstrate initiative and ability to attend to all tasks.
