Provides accounting and clerical support to the accounting department for effective handling of financial records and operations.


Responsibilities

  • Maintains records and files, including accounts payable and accounts receivable documentation, journal and general ledger documentation and other miscellaneous filings.
  • Enters data into spreadsheets and prepares assigned reports.
  • Performs a variety of accounts payable duties to include sorting and matching checks and invoices, inserting checks into envelopes, researching information, entering credit memos, verifying accuracy of credit entries and updating system to ensure credits are processed.
  • Performs in a variety of accounts receivable duties to include sorting and matching checks and invoices, posting cash, check and credit card payments to the proper accounts, preparing bank deposit slips, recording cash receipt information, reviewing credit memos and/or refunds and applying adjustments to accounts as necessary, performing basic collection activities, and reviewing accounts receivable aging reports and gathering details on delinquent accounts.
  • Performs basic audit functions to ensure proper posting to accounts.
  • Prepares correspondence to assist in answering inquiries and resolving discrepancies.
  • Creates customer and vendor files, files invoices and copies of checks and updates customer and vendor information.
  • Assists in preparing month-end reporting to include printing various reports and creating spreadsheets.
  • Prepares daily and weekly reports.
  • Provide administrative support to electrical contractors, project managers, and field technicians
  • Prepare, maintain, and organize electrical project documentation (permits, plans, drawings, specs)
  • Schedule inspections, service calls, and installation dates with clients, utilities, and inspectors
  • Track work orders, change orders, and job progress to ensure projects stay on schedule
  • Process invoices, purchase orders, work tickets, and expense reports
  • Coordinate material orders and maintain inventory of electrical supplies and equipment
  • Support compliance with electrical codes, safety regulations, and licensing requirements
  • Maintain accurate records for permits, certifications, and inspections
  • Communicate with vendors, subcontractors, and internal departments
  • Handle customer inquiries and provide project status updates
  • Assist with estimating, bid preparation, and contract documentation
  • Maintain databases and filing systems (digital and paper)
  • Support payroll or timesheet tracking for electrical crews
  • Ensure confidentiality and accuracy of sensitive project and financial information

Qualifications

HS diploma, or GED equivalent, and 1-3 year’s experience in accounting is required. Related experience and/or advanced training or any equivalent combination of education and experience may be substituted. Previous experience in accounting and knowledge of basic bookkeeping and/or accounting principles desired. Must be computer literate with knowledge of Microsoft Office products. Knowledge of accounting software is desired.
