Arnquist Flooring is seeking a detail-oriented Project Coordinator to support our project managers and sales team on commercial flooring projects from bid through closeout. This role focuses on coordination, documentation, and communication to help ensure projects run smoothly, on schedule, and within budget.
Key responsibilities:
- Support project managers with day-to-day coordination on commercial flooring projects from award through closeout.
- Assist with reviewing plans, specifications, and scopes of work and help prepare project setup documents.
- Create and maintain project files, including contracts, subcontracts, purchase orders, change orders, RFIs, and submittals.
- Coordinate material orders, delivery schedules, and vendor communication; track lead times and confirm quantities.
- Schedule and confirm installation crews, site access, and required equipment; update calendars and project boards.
- Communicate with general contractors, owners, and installers to confirm details, share updates, and resolve basic questions.
- Help prepare meeting agendas, notes, and follow-up items for project meetings. Track project milestones, update internal systems (spreadsheets, project software, shared drives), and flag delays or issues to the project manager.
- Assist with job cost tracking, including collecting timecards, delivery tickets, invoices, and change order documentation.
- Support punch list and closeout activities by organizing documentation, warranties, and as-built information.
Qualifications:
- Experience in construction, flooring, or a related office/project support role preferred, but strong administrative/project coordination experience in another industry will be considered.
- Strong organization and attention to detail, with the ability to manage multiple tasks and deadlines at once.
- Clear written and verbal communication skills with internal teams, vendors, and customers.
- Basic ability to read or learn to read construction drawings and specifications. Comfortable working in Excel/spreadsheets, email, and shared file or project management systems.
- Self-motivated, willing to ask questions, and able to work both independently and as part of a team.
- High school diploma or equivalent required; additional education in construction management, business, or related field is a plus.

Pay: $50,000.00 - $60,000.00 per year
