What are the responsibilities and job description for the Executive Operations and Admin Assistant position at Armin Mechanical, Inc?
We are hiring a mid-level Office & Operations Assistant to support multiple small businesses including a mechanical contractor, real estate company, indoor golf simulator studio, and travel agency. This role requires strong initiative, excellent follow-through, and the ability to manage multiple priorities without micromanagement.
Schedule
- 30–40 hours per week
- Preferred: Mon–Fri, 8am or 9am–3pm or 4pm
- In-person during training; hybrid available after
Responsibilities
- Daily data entry for receipts, invoices, AP/AR
- Track quotes, proposals, and job progress
- Communicate with subcontractors, vendors, and clients
- Manage office tasks, calendars, emails, and documentation
- Assist with bookings (golf simulator travel)
- Support real estate tasks (KW Command, Canva, marketing templates)
- Light personal assistant tasks as needed
Required Skills
- QuickBooks
- Microsoft Office (Word, Excel, Outlook)
- Ability to learn Google Workspace
- Comfortable with learning KW Command & Canva
- Strong communication & organization
- Ability to handle multiple businesses and shifting priorities
