Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is pivotal in ensuring the smooth operation of our office, providing essential support to various departments, and enhancing overall productivity. The ideal candidate will possess strong communication skills, a proactive approach to problem-solving, and the ability to manage multiple tasks efficiently.
Duties
- Manage front desk operations, including greeting visitors and handling inquiries.
- Operate multi-line phone systems to direct calls appropriately and provide excellent phone etiquette.
- Maintain organized filing systems for both physical and digital documents.
- Perform data entry tasks with accuracy and attention to detail.
- Assist in calendar management, scheduling appointments, and coordinating meetings.
- Provide customer support by addressing client inquiries and resolving issues promptly.
- Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
- Conduct proofreading of documents to ensure clarity and correctness.
- Handle escalated guest concerns.
- Support bookkeeping tasks as needed, including invoicing and expense tracking.
- Collaborate with team members on various administrative projects as required.
- Plan annual events such as Downtown bathtub race, New Years Eve celebration etc.
Requirements
- Proven experience in an administrative role or similar position is preferred.
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Excellent organizational skills with the ability to manage time effectively.
- Bilingual abilities are highly desirable for effective communication with diverse clients.
- Experience with clerical duties such as filing, typing, and data entry is essential.
- A background in customer service or support roles is beneficial.
- Familiarity with office management practices and procedures is advantageous.
