Position Summary
The HR Assistant provides administrative and operational support to the Human Resources department, assisting with daily HR functions including onboarding, employee records, HRIS maintenance, payroll preparation support, employee relations, and compliance documentation. This role works closely with the HR Manager and supports employees and managers across multiple restaurant locations.
This position requires regular on-site presence and availability during restaurant operating hours to effectively support operations and employees.
Key Responsibilities
HR Administration & Employee Support
Assist with new hire onboarding, including employment documentation, I-9 processing, and HRIS setup
Maintain accurate employee records (digital and physical) in compliance with company policy and legal requirements
Respond to employee HR inquiries and communicate with employees face-to-face at restaurant locations
Support managers with HR-related documentation and processes
HRIS & Data Management
Support HRIS data entry, updates, and audits to ensure data accuracy
Track employee status changes, job updates, and personnel actions
Identify and resolve data discrepancies
Payroll Preparation Support
Assist in gathering and reviewing payroll-related information, including timekeeping issues, pay adjustments, and employee changes
Support pre-payroll audits to ensure accuracy prior to payroll processing
Coordinate with managers to resolve payroll discrepancies
Employee Relations & Investigations
Assist in gathering investigation details related to employee relations issues, including documentation and witness statements
Communicate professionally with employees during investigations and follow-up
Maintain confidentiality and proper documentation
Recruitment & Onboarding Support
Coordinate interview scheduling and candidate communications
Assist with offer letters, onboarding packets, and orientation logistics
Track recruitment and onboarding progress
Compliance & Documentation
Support compliance documentation including I-9s, policy acknowledgments, and required forms
Assist with internal audits and record reviews
Ensure documentation is completed, signed, and properly stored
Process & Workflow Support
Assist with maintaining HR workflows, templates, and standard operating procedures
Support process improvements and HR projects as assigned
Required
- High school diploma or equivalent (Associate’s or bachelor’s degree in HR, Business, or related field preferred)
- Strong organizational and time-management skills
- High attention to detail and ability to handle confidential information
- Comfortable working with technology, systems, and data
- Strong written and verbal communication skills
- Ability to travel locally to multiple restaurant locations
Preferred
- Prior HR, administrative, or office support experience
- Familiarity with HRIS and payroll systems Preferably (Paycom)
- Bilingual (English/Spanish) a plus
- Interest in pursuing a long-term career in Human Resources
