Bilingual Front Office Manager - East Valley Mesa Campus (K-3rd Grade), 26/27 School Year

Under the supervision and direction of the Campus Director, the Office Manager will provide a high level of administrative and business support to the administration, employees, and parents at AZACS.
Duties:
● Handles employee photo and security badges in coordination with Talent
Management as needed.
● Orders teaching, office, and staff break room supplies and maintains inventory as
needed.
● Maintains an accurate and up-to-date Charter Board Compliance Binder
● Performs administrative tasks as needed, such as scheduling appointments,
processing paperwork, mailing, shipping, and updating databases.
● Manages the hourly time clock system for the campus, including approval of hours
and AZACS expectations for attendance
● Assists and covers for the Front Desk receptionist, providing direction as needed.
● Helps to plan and manage logistics and preparations for school events, meetings,
and activities as needed (making photocopies, setting up for special events, making
phone calls to confirm attendance, etc.).
● Works with the Registrar to assist with any enrollment or reporting needs.
● Sends communications through School Messenger as needed.
● Ensures packages are delivered to the appropriate person according to our new
process for receiving, tagging, and delivering packages, including documenting and
checking each order.
● Manages campus staff Time & Effort logs for grant compliance
● Ensures campus trainings are logged and documented for all staff in attendance
● Manages the Howling Heroes and other staff incentive programs at the campus.
● Serve as backup support to the lunch assistant and collaborate with the head of
Nutrition to ensure a quality & compliant school nutrition program.
Operations Support
○ Manage campus petty cash to AZACS Standard
○ Collect Event Deposits and complete to Deposit Standard
○ Order Campus office supplies
○ Receive and tag all incoming assets to the standard
○ Staff Lounge ordering supplies
○ Assist in ordering toner, laminator rolls, and paper supplies
○ Prepare the campus for extended breaks: Phone messages, delivery messages, lobby, and staff breakrooms.
○ Assists with the offboarding of campus staff to collect and check in assets
● Works with IT and Facilities to tag assets.
● Assists with facilities/maintenance purchases and service calls.
● Performs other special projects and duties as necessary and requested.
Minimum Qualifications:
● 2-3 years of experience in administration or operations.
● Excellent verbal and written communication skills, with all levels of the organization
● Must be self-motivated, independent, and able to work with minimal supervision
and in a collaborative environment.
● Valid Arizona IVP Fingerprint clearance card
● Bilingual in Spanish/English
● Proficient in Google Suite and Microsoft Office.

Physical Requirements:
