Role Overview
We are seeking a highly organized and detail-oriented Project Coordinator / Office Manager to manage the full administrative cycle for NYC residential renovation projects.
You will support our Project Managers and oversee all coordination from project start through completion.
Note: This is an administrative and coordination role - not on-site construction management.
Key Responsibilities
- Serve as the primary administrative point of contact for clients.
- Prepare, assemble, and submit full Alteration Packages for co-op/condo boards.
- Communicate with building management companies and handle all required documentation.
- Manage COIs, permits, ACP-5, asbestos reports, and coordination with architects/engineers.
- Track approvals, follow-ups, scheduling, and project milestones.
- Maintain digital project folders, checklists, contracts, and payment logs.
- Coordinate walkthroughs, inspections, and client communication.
- Support Project Managers with daily administrative tasks and updates.

Requirements
- Minimum 2 years of experience in a similar office-based role (administrative, project coordination, or operations).
- Strong professional references required.
- Experience working with NYC co-op/condo boards and building management (required).
- Familiarity with alteration agreements and basic DOB documentation.
- Excellent communication and organizational skills.
- Ability to manage multiple projects simultaneously and prioritize effectively.
- Strong technical proficiency with Google Workspace and digital project documentation.
Schedule
Full-Time: Monday–Friday
Hybrid option may be available based on performance.
Pay: $70, $85,000.00 per year
