Position Overview
We are seeking a bilingual, highly organized and dependable Office Administrator to support daily operations of a growing construction company. This role is critical to maintaining efficient workflow between the office, field crews, and customers.
The ideal candidate is proactive, detail-oriented, and capable of managing multiple responsibilities while maintaining professionalism and clear communication. Reliability and consistency are essential for success in this role.
Key Responsibilities
Customer Communication
- Answer incoming phone calls and respond to customer inquiries in a professional and timely manner
- Serve as the primary point of contact for customers throughout the project lifecycle
- Communicate scheduling updates, delays, and job progress clearly
Scheduling & Coordination
- Schedule jobs, service calls, and project timelines
- Coordinate with field crews, subcontractors, and vendors
- Maintain and update the company calendar to ensure efficient job flow
Material Procurement
- Order materials and coordinate deliveries with suppliers
- Track orders to ensure timely arrival and job readiness
- Communicate with project managers regarding material needs and changes
Invoicing & Financial Admin
- Prepare and send invoices based on completed work and project milestones
- Track payments and follow up on outstanding balances
- Assist with basic bookkeeping and job cost tracking as needed
Administrative Support
- Maintain organized digital and physical job files
- Assist with permits, documentation, and compliance paperwork
- Support estimating and project management with administrative tasks
- General office duties to ensure smooth day-to-day operations
Requirements
- Strong organizational and time management skills
- Ability to multitask and prioritize in a fast-paced environment
- Excellent communication skills (phone, email, and in-person)
- Proficiency in basic office software (Google Workspace, Microsoft Office, etc.)
- Experience in construction or service-based industries preferred
