Position Overview

We are seeking a bilingual, highly organized and dependable Office Administrator to support daily operations of a growing construction company. This role is critical to maintaining efficient workflow between the office, field crews, and customers.

The ideal candidate is proactive, detail-oriented, and capable of managing multiple responsibilities while maintaining professionalism and clear communication. Reliability and consistency are essential for success in this role.

Key Responsibilities

Customer Communication

  • Answer incoming phone calls and respond to customer inquiries in a professional and timely manner
  • Serve as the primary point of contact for customers throughout the project lifecycle
  • Communicate scheduling updates, delays, and job progress clearly

Scheduling & Coordination

  • Schedule jobs, service calls, and project timelines
  • Coordinate with field crews, subcontractors, and vendors
  • Maintain and update the company calendar to ensure efficient job flow

Material Procurement

  • Order materials and coordinate deliveries with suppliers
  • Track orders to ensure timely arrival and job readiness
  • Communicate with project managers regarding material needs and changes

Invoicing & Financial Admin

  • Prepare and send invoices based on completed work and project milestones
  • Track payments and follow up on outstanding balances
  • Assist with basic bookkeeping and job cost tracking as needed

Administrative Support

  • Maintain organized digital and physical job files
  • Assist with permits, documentation, and compliance paperwork
  • Support estimating and project management with administrative tasks
  • General office duties to ensure smooth day-to-day operations

Requirements

  • Strong organizational and time management skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Excellent communication skills (phone, email, and in-person)
  • Proficiency in basic office software (Google Workspace, Microsoft Office, etc.)
  • Experience in construction or service-based industries preferred

Job Type: Full-time

Pay: $20.00 - $26.91 per hour

Expected hours: 40 per week
