HVAC Service Operations Coordinator / Dispatcher

Argen Air Inc. is a growing commercial HVAC company in South Florida seeking a highly organized, motivated, and dependable Service Operations Coordinator / Dispatcher to help run our day-to-day service operation.

This is not simply a receptionist position.

We are looking for someone who can take ownership of the office, coordinate technicians, communicate professionally with commercial customers, keep work orders moving, and eventually grow into a larger operations-management role within the company.

Responsibilities

• Answer incoming customer phone calls and emails
• Schedule and dispatch HVAC technicians
• Manage jobs and customer information in Housecall Pro
• Monitor ServiceChannel, Coupa, and other customer/vendor portals
• Review technician notes, photos, model numbers, serial numbers, and recommendations
• Follow up with technicians when documentation is incomplete
• Provide customers with scheduling and job-status updates
• Schedule preventive maintenance visits
• Track open and pending work orders
• Follow up on outstanding estimates
• Coordinate approved repairs and return visits
• Prepare completed jobs for invoicing
• Track parts and material orders
• Contact supply houses for pricing and availability
• Coordinate technician material pickups
• Maintain an organized daily service schedule
• Make sure every open job has a clear next action

Preferred Experience

Experience in any of the following is a plus:

• HVAC service
• HVAC dispatch
• Plumbing or electrical service
• Construction
• Property management
• Facilities management
• Logistics or dispatch
• Service coordination
• Commercial customer service

Experience with Housecall Pro, ServiceChannel, Coupa, QuickBooks, Microsoft Office, or Google Workspace is a plus.

Bilingual English/Spanish is preferred.

HVAC experience is preferred, but we are willing to train the right person who demonstrates strong organization, communication, technology skills, and the ability to take ownership.
