What are the responsibilities and job description for the Executive Assistant position at Areyou Consulting?
This isn't a job for someone who wants to be told what to do every day.
It's a role for someone who walks into a situation, sees what's missing, and handles it — before anyone has to ask.
My client is a top-producing Ann Arbor realtor. She runs a high-volume, relationship-first real estate business while also being a wife, mom, and active member of her community. She operates at an exceptionally high standard in every area of her life — and she's looking for someone who naturally holds that same standard for themselves.
This role exists to give my client more capacity: to show up bigger for her clients, her family, and her business — by having a trusted person managing the details behind the scenes. Think of it as being her second brain and her right hand, all in one.
If you're someone who gets genuine energy from checking things off a list, from anticipating needs before they're spoken, from turning "it would be great if someone..." into "already done" — this role was written for you.
You thrive in implementation. You don't need to create the vision — you love making the vision happen.
What You'll Be DoingReal Estate Business Support
- CRM management in FollowUpBoss: adding and updating contacts, tagging clients (VIP/Platinum/Gold/Silver), tracking referrals, and keeping the database clean and current
- Sending referral thank-you gifts (Amazon gift cards and similar) on their behalf
- Coordinating event prep, setup, and follow-up — including tagging attendees in the CRM
- Client appreciation pop-bys: gift sourcing, prep, and delivery to top-tier clients
- Listing support: delivering sign riders, picking up brochures from the Reinhart office and dropping at properties, setting up shoe bins/booties, upgrade display cases, door knockers to neighbors, and other on-site listing prep
- Vendor coordination: calling contractors for estimates, scheduling window cleaners, and managing follow-through on vendor tasks (note: letting vendors into properties remains with the licensed agent)
- Broker open house prep
- Closing prep: closing gift sourcing, card writing, logistics
- Online research as needed
Home & Lifestyle Support
- Running personal errands
- Light household tidying (not cleaning, think the things that as a mom/wife you come home and it just immediately gives you brain fog that it wasn't done before you left and makes you anxious to do the second you walk in the door)
- Appointment scheduling and calendar coordination
- Gift sourcing and management: birthdays, holidays, client closing gifts, and anything else that keeps their relationships thoughtful and on time
- Thinking ahead — noticing what they might need before she realizes she needs it
Who You Are
You are someone who:
- Loves the list. Crossing things off gives you actual satisfaction. Incomplete tasks bother you. You don't let things fall through cracks.
- Anticipates, doesn't just react. You're already thinking three steps ahead. "How can I help?" is a question you ask without prompting.
- Holds a high standard. She lives and works in a luxury environment and expects the same level of care and professionalism from everyone in her world. You don't cut corners.
- Is discreet. You'll have access to client information, personal logistics, and business details. Confidentiality isn't just a checkbox — it's a core value for you.
- Is detail-obsessed. A brochure with a typo. A gift that arrives late. A contact not tagged correctly. These things matter to you as much as they matter to them.
- Is proactive, not passive. You show up looking for ways to add value, not waiting to be assigned a task.
- Is resourceful. You figure things out. You Google. You call. You make it happen.
- Communicates clearly and promptly. You give updates before they're requested. You flag issues early. You close the loop.
You do NOT need a real estate license for this role.
Growth Potential
This role starts at 10–15 hours per week. But for the right person, it can grow significantly.
We are building a business behind the business — systems, processes, and support that allow her to operate at a higher level without working more hours. As you prove yourself and take more off her plate (and potentially off the plate of her marketing consultant), hours, responsibilities, and compensation can grow with you.
There is also a bonus incentive structure tied to the success of the business. We believe in a "I win, you win" model. When her business grows, the people who helped build it should share in that.
We are not looking to fill a role for six months. We're looking for someone who wants to support her long-term.
